Administrative Assistant Position in Kenya

Job Description

The Office of United Nations Development Programme (UNDP) South Sudan, Juba Office invites applications from suitable qualified Kenyan Citizens to fill the following post:

Position: Admin Associate

Practice Area: Operations Support

Organizational Unit: UNDP Southern Sudan Sub-Office

Duration: Initial six months

Duty Station: Lokichoggio, Kenya

Level: Service contract

Application Deadline: 18th February 2007

Duties and Responsibilities:

In liaison with the Travel Unit, the incumbent will support the programme team as follows:

- Control the inventory of office assets; maintain data and update inventory report pertaining to UNDP equipment located in Lokichoggio;

- Draft correspondence on routine administrative matters

- Work closely with Programme Associate(s) in making interfield flight bookings and maintain a database of the same including requester’s name and Unit;

- Provide a monthly report on flight bookings and other ad hoc reports to the Field Operations Specialist;

- Review WFP invoice to determine that the same is correct before submitting the same to Juba for action;

- Receive UNDP equipment and furniture for distribution to various field offices as requested; ensure the safe storage of the same pending distribution to end users;

- Ensure compliance of customs procedures to and from Sudan;

- Custodian of office petty cash in a transparent manner and disbursement of funds in accordance with UNDP petty cash rules and regulations.

- Liaise with other agencies, NGOs and counterparts in Lokichoggio on relevant issues relating to Sudan interfiled operations and security.

- Any other duties as may be assigned by Supervisor in line with UNDP mandate.

Required Skills and Experience:

A. High school degree. An advanced diploma in relevant field would be an asset.

B. Proficiency in spoken and written English.

C. 4 years work experience; experience in an international setting (i.e., UN organisations or NGOs) a plus; notable experience in administration a must;

D. Computer Literate; excel, Microsoft word, internet. Computer Literate; excel, Microsoft word, internet.

E. Professionalism: able to exercise sound judgment, pay great attention to detail, work well in a team, culturally sensitive, demonstrate appreciation for different cultures and practices, project a positive image, self-motivated and able to recommend options for resolution of issues.
