UN Programme Management Assistant Jobs in Kenya

Responsibilities

  • Assistance to the Chief, Freshwater Unit;
  • Maintain the supervisor's calendar and schedule appointments and also maintain and share information;
  • Screen incoming correspondence and maintain an efficient follow-up to Office of the Executive Director related matters, including memos, input to official correspondence and other tasks as needed;
  • Assist with the preparation of Programme of Work and budget processes for the Freshwater Unit; keep track of budget overviews, review and process payments for legal agreements and report on the Freshwater Unit's projects and donor funds;
  • Compile inputs, support the procurement of goods and services and prepare reporting on programme delivery for the Freshwater Unit biennially into electronic systems and update the status of activities;
  • Undertake searches for information from electronic databases, internet, library and other sources of information for the preparation of papers and briefs; Compile publications, mission reports for inclusion in UN Environment reports and/or report on the implementation of Governing Council and Environment Assembly decisions;
  • Prepare travel authorizations for official missions and ensure security clearance has been obtained;
  • Compile mission files, briefing notes and ensure all relevant meeting documentation are included;

    Education

  • Completion of high school diploma or equivalent is required. Supplementary post-secondary school training in business administration, public administration, programme/project Management or other related field is desirable.
  • Must have passed the United Nations Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away.

    Work Experience

  • A minimum of five years of progressive work experience in programme or project management, administration is required.
  • Experience within the UN system or other international or intergovernmental organization is desirable.
  • Experience in reviewing and processing payments for legal agreements; experience in managing budgets and financial payments; experience in procuring goods and services are highly desirable.
  • Knowledge of ERP system is highly desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat.
  • For this post, fluency in oral and written English is required. Working knowledge of another UN language is an asset.

    UN Meetings Services Assistant Jobs in Kenya

    Responsibilities

    • Produces daily and weekly programme of assigned committees and meetings/conferences prepared by senior staff for distribution.
    • Prepares and organizes sets of official documentation in the document booth, in the six official languages, for distribution in the conference room.
    • Informs relevant offices/persons of changes in the daily programme of committees and meetings / conferences.
    • Ensures the distribution of procedural notes for the chairpersons of assigned committees and meetings/conferences.
    • Assists in the preparation of the preliminary list and annotation of agenda items, the list of participants, and daily material concerning the proceeding of committees and meetings/conferences.
    • Maintains an accurate record of speakers and/or an attendance record and coordinate with the Secretariat, verbatim reporters and delegations on their position on the list of speakers.
    • Assists in the voting and
    election process by distributing and collecting ballots and the preparation of tabulation of voting patterns.

    Education

  • High school diploma or equivalent is required. Additional training in conference services, proficiency in Microsoft office applications, emails and database management is desirable. Other related field is an advantage.
  • Must have passed the United Nations Administrative Support Assessment Test (ASAT) at Headquarters or an equivalent locally-administered test at Offices Away from Headquarters.

    Work Experience

  • A minimum of five years of relevant working experience in meetings planning, conference support, library work or related areas.
  • Experience in dealing with United Nations policies, procedures and practices relating to conferences and meeting services is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required.

    UN Assistant Administrative Officer Jobs in Kenya

    Responsibilities

    Reporting and support to Business Continuity Planning (BCP):

    • Support the development of project monitoring systems to manage and track project activities of programmes in Kenya; development of context-relevant tools enabling staff to effectively report on grants and projects and in compliance with IPSAS requirements.
    • Assist in preparation, development and validation of key priority reports for project and corporate needs, including the requirements of the BCP efforts and preparedness strategy of the organization.
    • Support the Business Continuity Planning efforts as coordinated by UNON.
    • Provide troubleshooting support to Umoja transactional users.
    • Mainstreaming of UN-Habitat reports; statutory and exceptional reports for management.
    • Testing and verification of different reports from various platforms such as Enterprise Core Component (ECC), Business Intelligence (BI), Systems, Applications and Products (SAP) high performance analytic appliance (HANA) and any other legacy system in use.

    Education]

    A first-level university degree in business or public administration, finance, accounting, economics, law or related field.

    Work Experience

    • A minimum of two years of progressively responsible experience in administration, finance, accounting, or related area.
    • Experience with an ERP system and Business Intelligence certification are is desirable.
    • Experience with developing reports for Senior Management information and decision making is highly desirable.
    • Experience in Business Continuity Planning in a large organizationand training in ERP would be an asset.
    • Experience with management of technical cooperation/development projects at national level would be desirable.

    Languages

    • English and French are the working languages of the United Nations Secretariat.
    • For the post advertised, fluency in English and Swahili (both oral and written) is required.
