Accounts Assistant (Siaya)

Will be based in Siaya Office and will ensure financial integrity in all aspects of the project and manage all financial, accounting, and administrative aspects of the project.

Main Responsibilities
  • Prepare monthly financial activity returns/reports for DREAMS project in accordance with the requirements of the donors and submit to head office.
  • Ensure that all expenditures are authorized and in accordance with the approved budgets.
  • Support in the procurement transactions by ensuring supporting documentation.
  • Support in preparation of annual financial statements and reports of the projects.
  • Manage Siaya office petty cash and cash imprests.
  • Prepare office petty cash reconciliation and submit to head office.
  • Manage Siaya Office asset register.
  • Ensure adherence to USAID project accounting requirements.
  • Undertake special assignments and/or perform other related duties as required.

    Qualifications/Skills and Knowledge
  • Degree in accounting or finance.
  • CPA-IV qualification will be desirable.
  • Minimum of three (3) years’ experience in the administration of financial accounting and sub-grant management processes within a large, multi-faceted USAID funded project.
  • Experience working with Non-Governmental Organizations.
  • Experience with USG project accounting requirements including demonstration of a deep familiarity and application of Office of Management Budget (OMB) Guidance in 2 CFR part 200 sub-parts A through E is a must requirement for the job.
  • Knowledge and experience in QuickBooks accounting systems preferred.
  • Strong oral and written communications skills with a proven ability to convey information clearly and concisely.
  • Ability to coordinate cross-departmental efforts to achieve common goals on time.

    2. Project Assistant (1 Nairobi, 1 Siaya)
    Will support day to day planning, implementation and reporting.

    Other Responsibilities
  • Prepare work plans and programs.
  • Prepare training notes and mobilisation of participants.
  • Support trainings and sensitisation meetings / forums for communities, children and duty bearers.
  • Support identification and enrolment of vulnerable girls to Bridge Centres.
  • Support monitoring and follow ups of project interventions based on project action plans.
  • Develop project case work, weekly and monthly reports.
  • Attend partners meeting.
  • Carry out any other duties as may be assigned from time to time by the Project Officers.

    Qualifications
  • The successful candidate should possess a minimum of a Bachelor’s degree in Education, Social Studies or Community Development.
  • Must be computer literate and have a minimum of two (2) years’ working experience in a HIV funded project.
  • S/he should have strong knowledge of the different dynamics in communities, good mobilization skills and report writing skills.
  • Driving and riding (motorbike) license with a minimum driving/riding experience of 3 years will be an added advantage.

    3. Project Officer (1 Nairobi, 1 Siaya)

    Responsibilities

  • Prepare weekly, monthly and quarterly work plans.
  • Participate in identification and selection of project beneficiaries, facilitators, community liaison contact persons and volunteers.
  • Prepare training notes and training programs.
  • Mobilise participants, facilitate trainings and sensitisation forums for duty bearers, communities and children.
  • Support all community based interventions geared towards supporting girls’ education.
  • Supervise all volunteers to ensure effective quality service delivery at the Bridge Centres.
  • Keep records of all girls accessing the centres, reported cases and management as well as trends in terms of girl’s progression in learning.
  • Support monitoring processes through data collection on all activity variables.
  • Collect, verify and report issues, lessons learned and success stories accurately.
  • Represent the organisation in all project related partner/stakeholders meeting and reporting.
  • Perform any other duties as may be assigned by the Project Coordinator from time to time

    Qualifications
  • The successful candidates should possess a minimum of a Bachelor’s degree in Education and/or Social Sciences (Arts) and have a minimum of 3 years of experience in implementing HIV funded projects preferably within the NGO sector.
  • S/he must be computer literate and should have strong knowledge of the different dynamics in communities together with good mobilization and report writing skills.

  • Ability to facilitate adolescent/youth led activities/interventions.

    4. Finance Officer (Nairobi)

    Responsibilities

  • Prepare monthly, quarterly, half yearly and annual financial and activity reports for DREAMS Innovation
  • Challenge project in accordance with the requirements of the donors.
  • Monitor the expenditure on DREAMS Innovation Challenge project and ensure that all expenditures are authorized and in accordance with the approved budgets of the donors.
  • Review of and accounting for procurement transactions ensuring supporting documentation, accuracy of amounts and control over payments.
  • Prepare annual financial statements and reports of the projects.
  • Management of project petty cash and cash imprests.
  • Management of project asset register.
  • Ensure adherence to USAID project accounting requirements.
  • Process and review monthly bank reconciliation statements of project bank accounts and recommend appropriate action on issues identified.
  • Respond to internal /external audit queries and observations and take appropriate action on issues identified.
  • Take initiative to improve accounting processes and approaches.
  • Contribute towards the in training of DREAMS Secretariat staff.
  • Undertake special assignments and/or perform other related duties as required.

    Qualifications / Skills and Knowledge

    5. Monitoring and Evaluation Officer (Nairobi)

    Responsibilities

  • Development and monitoring of project M&E frameworks.
  • Development of project M&E Tools.
  • Development of project Monitoring Action Plans (MAPs).
  • Through data collection from different targets and sources, analyse all information, document and report progress, challenges, lessons learnt.
  • Develop response and feedback mechanisms for the project especially with the senior management team and partners by analysing monitoring and reporting data and communicating in timely fashion so that the results of analysis inform project decision making.
  • Create and operationalize forums for Knowledge Management Systems for staff and partners.
  • Ensure high level of beneficiaries’ participation in all monitoring activities.
  • Coordinate beneficiary and data validation exercises.
  • Document lessons learnt and best practices.
  • Under take any other duties as may be assigned from time to time by the Project Coordinator.
  • Work with the PC and POs to develop project case studies, weekly and monthly reports.
  • Design and lead training and other capacity building initiatives on monitoring and reporting systems for staff and volunteers.
  • Support the project team to record and analyse project data.
  • Conduct M&E field visits.

    Qualifications
  • Bachelor’s Degree in either Education or Social Sciences and Post Graduate Studies in M&E. Minimum of 5 years’ experience in either US State Department HIV funded projects with a local or international organization.
