Asili Sacco Society Ltd wishes to invite applicants for the following vacant position:


1. Assistant Procurement Officer

1 Position

Key Responsibilities
  • Prepare monthly, quarterly and annual sectional reports
  • Participate in departmental meetings
  • Participate in committee meetings as appropriate
  • Prepare consolidated annual procurement plan for goods and services;
  • Prepare tender documents in liaison with user departments and present them for adjudication.
  • Prepare documents for the tender committee meetings.
  • Preparation of local purchase orders, quotations, imprest and tenders in the society.
  • Preparation of contract documents in line with award decisions.
  • Preparation of periodic procurement reports.
  • Maintain an up-to-date database of suppliers.
  • Undertake market survey of relevant products/services.
  • Provide secretarial services to the Procurement Committee.

    Requirements and Qualifications
  • Bachelor’s degree in Procurement and supply chain management/commerce or equivalent field from a recognized university.
  • A Diploma in Supply Chain Management, Diploma in Procurement or its equivalent.
  • Valid Practicing License from KISM.
  • At least 2 years experience in procurement
  • Has good leadership and supervisory skills, co-ordinates group activities, ensuring that roles within the team are clear.
  • Sets clearly defined objectives and plans activities for self, own team or department.

    2. Secretary

    1 Position

    Report to Chief Operations Manager.

    Roles and Responsibilities
  • Types and maintains all files for the sub-committees.
  • Types Board of Directors minutes and keeps their records.
  • Draft office correspondences, letters and memos.
  • Maintenance of accountable documents.
  • Maintain cleanliness of the conference, CEO’s, Chief operations Manager’s and the chairman’s office.
  • Preparation of all board and sub committee meetings.
  • Preparation of Annual delegates meeting.
  • Attending to the CEO’s and the Chief Operations Manager visitors.
  • Managing telephone call on behalf of the CEO and the Chief Operations Manager.
  • Preparation of simple letters for the Board, CEO and the Chief Operations Manager.
  • Any other duties as assigned.

    Requirements / Qualifications
  • Diploma in secretarial studies
  • 3 years work experience in similar position
  • 24-35 years
  • Ability to meet strict deadlines
  • Good communication skills and ability to work with all level employees
  • Team work and good organizational skills.


    3. Records Officer – 1 Position

    Report to Chief Operations Manager.

    Roles and Responsibilities
  • Design and develop and maintain sound filing systems, business classification schemes and undertake records surveys;
  • Set up and review documenting records systems;
  • Digitalize records and information.
  • Archive records for past members.
  • Establish retention and disposal schedules
  • Advise on new records management policies, providing a framework to guide your staff in the management of their records and use of the employer's records system;
  • Respond to information enquiries, giving appropriate access to information;
  • Ensure compliance with relevant legislation and regulations;
  • Advise on complex legal and regulatory issues, often involving judgments in areas such as the Freedom of Information Act and other national or regional legislation.
  • Preserve corporate memory and heritage.
  • Train and supervise records staff.
  • Responsible for all department's records/files classification and storage schemes
  • Appraise staff in the registry department
  • Maintains society’s register i.e. members, share, nominees, archives
  • Prepare and make monthly reports on new members and withdrawal cases
  • Custodian of all files and assets within registry.
  • Any other duty that may be assigned

    Requirements / Qualifications
  • Degree in records and archival management.
  • Diploma in Records and archival Management.
  • 3 years work experience in a similar position
  • Good organization skill
  • Team player
  • Self motivated individual with impeccable integrity
  • Must be aged between 28-37 years
  • Valid Certificate of good conduct from the Government of Kenya


    4. Assistant Accountant

    4 Positions

    Reporting to the Senior Accountant

    Roles and Responsibilities
  • Maintain by product register and data reconciliation.
  • Updating members personal Accounts
  • Filing of NSF, PAYE, NHIF and other statutory deductions to ensure compliance
  • Disburse loans and all other payments to member’s savings account.
  • Reconciliations of MPA’s /branch posting / Eft payments with the loan listings
  • Monthly bank,
    creditors, branch and debtors reconciliation.
  • Process yearly dividend /Interest
  • Posting of refunds and withdrawals to ensure the right amount are refunded to the right members.
  • Prepare payment schedules.
  • Check and confirm that all documents for accounts postings have been coded by the accountant.
  • Post all receipts and payments in respective ledger accounts.
  • Process all staff claims.
  • Follow up on debt recovery.
  • Implementation of accounting policies and Credit policy manual.
  • Prepare delinquency reports and file them with Credit Reference Bureau.
  • Processing of branch postage, imprest and branch loans.
  • Prepare daily summaries of expenses and reports.
  • Filing of income tax returns, CIC returns and SASRA returns.
  • Receipt all monthly standing orders and remittances.
  • Reconcile interdebted accounts between branch, Fosa and Bosa.
  • Any other duties as assigned from time to time

    Qualifications
  • Certified Public accountant CPA K or finalist.
  • BCOM - Finance / Accounting option, Diploma in Cooperative management / Diploma in Finance and banking.
  • Good understanding of accounting principles.
  • At least 2 years relevant experience preferably in Accounts.
  • Self driven, reliable, tolerant, result oriented, with a positive outlook and clear focus on high quality business development and a team player.
  • Ability to handle multiple assignments, work under pressure and maintain organized work habits.
  • Must be adept in use of computer software particularly Excel, PowerPoint and Word and also use internet and email facilities.
  • Be aged between 25 and 35 years old.
  • Must have a valid certificate of good conduct from the Government of Kenya.
  • Ability to meet strict deadlines.
  • Good communication skills and ability to work with all level employees.

    5. Marketing Officer

    1 Post (Nairobi)

    Reporting to the Chief Operations Manager.

    Roles and Responsibilities
  • Carry out market research Customer Survey to ensure the sales is up to date with the latest product and information
  • Recruit members and customers to increase more funds to the Sacco and membership for future survival
  • Follow up on sales enquiries by phone ,mails and field visits to ensure members are satisfied with service quality
  • Drawing marketing plans to ensure a clear road map of what is to be achieved is in line with strategic plan.
  • Marketing of the society’s product and services to ensure visibility and possibility
  • Monitoring marketing activities to provide management with relevant information
  • Submission of monthly reports to ensure results is adhered to and makes relevant information concerning improvement areas and progress.
  • Maintain and develop corporate image and reputation and protect society brands
  • Managing the sales and marketing of the society products and services
  • Any other duties that may be assigned from time to time.

    Qualifications
  • Relevant diploma in marketing
  • Degree in Business Administration (Marketing)
  • Communication skills
  • Three (3) years experience in the field of marketing.
  • Self driven, reliable, tolerant, result oriented, with a positive outlook and clear focus on high quality business development and a team player.
  • Ability to handle multiple assignments, work under pressure and maintain organized work habits.
  • Must be adept in use of computer software particularly Excel, PowerPoint and Word and also use internet and email facilities.
  • Be aged between 25 and 35 years old
  • Must have a valid certificate of good conduct from the Government of Kenya
  • Will be employed on commission with a negotiable retainer.
