  • WFP Ethiopia is working with the government and other humanitarian partners to strengthen the resilience of Ethiopia’s most vulnerable population and to chart a more prosperous and sustainable future for the next generation. The Country Office also supports programmes that use food assistance to empower women, transform areas affected by climate change and keep children in school. It aims to contribute to Ethiopia’s five-year development agenda, the Growth and Transformation Plan (GTP), through which the Government combats food insecurity.

    Organizational Context

  • These jobs are found in Gonder hub Office . Job holders report to Logistics Officer/Head of Unit to the designate.

  • At this level, job holders are expected to take responsibility for completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities for both WFP and logistics common services. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.

    Job Purpose

  • Currently, WFP operates a Fleet of 165 WFP trucks inside Ethiopia to support with the transport requirements whenever and wherever commercial transporters are unable to operate.

  • Additionally, WFP has purchased and is in the process of additional 99 trucks to support with WFP overland and inland operations. With the increased number of trucks under the WFP Fleet, this will require additional staffing capacity to appropriately manage these trucks to ensure they are properly planned, managed, maintained and mobilized to maximize their utilization.

  • The incumbent, under the supervision of the Fleet Manager, will support the Fleet team in appropriate managing the administration, maintenance and utilization of WFP Fleet trucks, with the objective to ensuring the efficient and timely movement of food cargo between overland and inland corridors.

    Key Accountabilities

  • Under the general supervision of the WFP Fleet. The Fleet/Logistics Assistant duties will include, but not be limited to the following:

  • Travel to locations as required to support with Fleet trucks operations management, in support to emergency and their WFP operations.

  • Monitor and to report to the Fleet the performance of the trucks/trailers to achieve maximum utilization, vehicle routing & scheduling for the timely deliveries of both Food and Non-Food-Items for Operational needs.

  • Preparation of orders for spare parts/tires and materials required for the operation and submit these request for approval when required.

  • Ensure and direct communicate with Logistics/ Warehouse colleagues related to operation, loading, trucks movement, submitting and clearing waybills on time.

  • Preparation of orders for fuel and other lubricants required for the operation and submit these request for approval when required and to follow up closely refuelling process of trucks including reports.

  • Supporting Fleet operation in Procurement, Admin and Finance when required,

  • Monitor all outsource staff including Fleet and Mechanical Workshop and the management of the spare parts stock accordance to their job description including submitting attendance list and report to Fleet and Workshop Manager.

  • To ensure and enter data in Fleet Management System (FMS) and to provide monthly Data Analyses report including fuel consumption report.

  • Support in the inventory management, accounting and reporting of Fleet spare parts and equipment.

  • Support
    in the monitoring and reporting on the vehicle performance indicators.

  • Support in addressing any queries, accidents, reports with related to the Fleet trucks.

  • Coordinate the appropriate allocation and utilization of the dedicated fleet trucks contributing to the efficient and timely movement of food commodities between overland and inland corridors.

  • Perform any other duties as assigned.

    Desired Experiences for Entry Into the Role

    • Experience using corporate systems to monitor ongoing shipments, pipeline information, insurance claims, and food stock.

    • Experience analysing data (on commodities, funds, etc.) and drafting reports.

    • Experience in measuring service providers’ performance against set KPIs.

    • Experience in assisting the preparation of contract documentation.

    • Experience in providing technical business support in corporate systems.

    Standard Minimum Qualifications

    Education:

  • First University degree in Transport, Supply Chain, Logistics, Mechanical Engineering, or other related field.

    Experience:

  • 5 years of experience working in humanitarian logistics and / or in the Fleet Management operations;

  • Experience in commercial or humanitarian transportation sectors.

  • Experience in communication and reporting.

  • Experience in working with Fleet Management Systems (databases, software).

    Language:

  • Fluency (Level C) in oral and written communication in English.
