Sustainet EA Admin Assistant / Book Keeper Vacancy in Busia, Kenya


Sustainet EA is looking for a well-organized and highly motivated, result oriented individual to fill the following position:

Responsibilities and Tasks:

Administration


  • Filing of all project contracts, partnership agreements, official letters, project beneficiaries, legal, and other official documents, both paper and electronic.
  • Update and manage beneficiary database of various projects both electronically and filing of hard copies.
  • Handling of confidential information and sensitive issues reliably.
  • Efficient management of logistics; suitable and efficient travel arrangements for field staff, board members, visitors and undertake all associated administration.
  • Manage the usage of organization vehicles and motor cycles and ensure up to date records on usage, maintenance, insurance and fuel top up.
  • Support and host visitors from the region and elsewhere – arranging inductions and other programmes for them ensuring high level of care.
  • Data entry using software such as Excel and Access.
  • Organization and preparation of meetings and taking minutes/report on such meetings.
  • Serve as the public relation person for the organization and respond to all inquiries.
  • Link very closely with partners and stakeholders and make necessary follow ups on agreements reached.
  • Maintain the organization assets in Busia by keeping up to date inventory.
  • Perform any other assignment assigned by the Supervisor.

    Book Keeping
    ❑ Verify documentation and process all payments including invoices from suppliers, internal requisitions and field imprests.
    Management of staff imprest as per the accounting procedures and standards.
    ❑ Proper and transparent management of office petty cash as per the policy and procedures.
    ❑ Maintain the billing files for all projects, with all the appropriate documents, including expenses, consultant invoices, and monthly invoices, in accordance with standard procedures.
    ❑ Perform daily postings of transactions into accounting system of the organization and month end bank reconciliations.

    Qualifications
    ❑ Education:
    CPA/Diploma in Business Management.
    ❑ At least one year experience.
    ❑ Proficiency in basic computer packages (MS Office, Excel and PowerPoint, Outlook) mandatory
    ❑ Excellent written and oral communication
    ❑ An understanding of confidentiality issues and the use of discretion
