Level: Clerical

Key Objective of this role

The successful candidate will provide day to day comprehensive clerical and administrative support within the team and individual.

Key performance indicators

Accurate recording and updating of purchase orders, defined procurement processes and elimination of maverick spend, on time and in full delivery of suppliers, accurate and on-time payments, implementing change through projects and initiatives that are measured in terms of budget, time and scope, planning deadline dates and adherence to processes, standard operating procedures and policies, accuracy of master data pertaining to products, raw materials and components, accurate costing, price and reporting.

Role and responsibilities

  • Review day to day purchase requisitions in order to verify requirements, accuracy and completeness.
  • Track status of requisitions, contracts & orders.
  • Maintain OTIF deliveries.
  • Obtain price quotes from suppliers.
  • Contact supplier in order to schedule or expedite deliveries.
  • Prepare, maintain & review purchasing files, reports and price lists
  • Preparation of procurement documentation requirements-EOIs, RFPs, RFQs and LPOs
  • Perform related work as required.

    Essential criteria

  • At least a diploma in purchasing and supplies from a recognized institution; CIPS qualification
  • Membership of KISM
    or related professional body
  • 1 year working experience in warehouse / logistics or supply chain industry;
  • Strong understanding of supply chain and warehousing processes; through planning, category management, procurement, logistics and delivery, monitoring and evaluation
  • Proficient in MS office applications, including word, Excel and MS project
  • Excellent written and verbal communication skills as demonstrated on application and during interview
  • Excellent organization and time management skills
  • Demonstrate ability to analyse and present data clearly and concisely.

    Desirable criteria:

  • Demonstrate ability to work under pressure.
  • Proven ability of working as part of a team and liaising with colleagues where work interests overlap.
