Duma Works Front Office & Operations Manager Vacancies in Kenya


  • Receive and manage walk¬ing customers, incoming email and telephone calls in a welcoming and professional manner.
  • Ensure timely and accurate correspondence with suppliers and customers.
  • Write / Issue / Manage LPOs to suppliers.
  • Write / Issue / Follow Up on quotations.
  • Maintain / update product price lists.
  • Monitor, plan and procure office consumables inventory.
  • Ensure office is tidy at all times
  • Manage / reconcile / maintain updated fiscal records (purchases, petty cash and account).
  • Maintain creditor and debtor lists to ensure that the Company and its suppliers are paid in a timely manner.
  • Remittance management (freelance / casual staff)


  • College degree / Certification courses.
  • 2-3 years experience in a similar role.
  • Thorough knowledge of customer service, office management and basic bookkeeping procedures.
  • Meticulous organisation.
  • Strong math skills, CPA a plus.
  • Ability to develop and maintain an accurate record keeping system.
  • Prioritisation: Understanding of what is the single most important task at any given moment.
  • Ability to think on one’s feet and make decisions quickly.
  • Effective communication: Ability to speak professionally and remain calm under immense pressure.
  • Initiative: Ability to work alone and take a lead when hurdles arise or when tasks require completion.
  • Planning: Staying ahead of the game and ensuring that plans for the future are clearly labelled out for all Team Members to follow.
  • Team working: Fostering an environment of teamwork to ensure that all products are delivered on time and Company goals are met.
  • Problem Solving: Adapting to the ever changing environment and reacting quickly to meet challenges.
  • Proficiency in Microsoft Office Suite ( Word , Excel, Outlook)
  • High proficiency with web browsers and general internet use (Email / Website / Facebook / Twitter / G+1 of 2)
  • High proficiency with smartphones and mobile apps
  • Familiarity with Cloud Tools (WhatsApp mobile / web app, Google Suite (Sheets, Calendar, Word)

    Language Requirements

  • Fully proficient in English (oral and written)
  • Basic proficiency (oral) in Swahili and Gujarati / Hindi

    Duma Works Accountant Vacancies in Kenya

    Principle Accountabilities

  • Maintaining of accounting controls through documented system of accounting policies and procedures
  • Maintain the general ledger and chart of accounts
  • Bank reconciliation posting and balancing
  • Prepare monthly and annual financial statements in form of balance sheet, profit & loss and cash flow and supporting schedules for the purpose of month end closing.
  • Accounting for fixed Assets and maintenance of fixed assets register
  • Completing and maintaining sales invoicing and reports
  • Payroll accounting paying particular attention to proper allocation to departments processing payment of statutory deductions.
  • Timely payments of all form of taxes (VAT, withholding tax and corporation tax) and filing of tax returns in accordance with the law.
  • Comprehensive costing of purchases especially imports (tablets and school set-up equipment) paying close attention to exchange fluctuation and variation in logistics costs.
  • Physical verification of inventories both in storage and keeping track of Goods-in-Transit for the purpose of inventory costing.
  • Liaising with Auditors and Tax advisors

    Working Capital Management

  • Keeping track of schools falling behind in payments and initiating discussions with at management level on the appropriate course of action.
  • Scheduling of payments to suppliers based on payment terms and monthly/weekly cash projections.
  • Timely payment of the contractual obligations based on the numerous strict contracts put in place to make the delivery platform effective.
  • Managing the preparation of the company’s annual budget and forecasts
    Undertaking Variance analysis and making reports thereof to the management for collective action.

    Financial Analysis
  • Interpreting company’s periodic financial results to management and giving recommendations thereof.
  • Lead role in continual cost analysis for the purpose of ensuring that every cost is properly justified and allocated to the appropriate department(s).
  • Manage the capital budgeting process, based on constraint analysis and discounted cash flow analysis.
  • Create additional analyses and reports as requested by management.

    Desired Qualifications

  • Bachelor’s degree in finance or accounting or its equivalent and working towards Certified Public Accountant (CPA) qualification or its equivalent.
  • Excellent communication, writing and presentation skills.
  • Proactive individual focused on systems and reporting improvements
  • Highly analytical mind
  • Ability to learn and understand fully the ERP system and the auxiliary systems that will be put in place to bring together various constituents of the business.
