Christian Aid Driver - CASE-OVC Jobs in Kenya

About the role

  • To provide in-country driving support to the country programme in liaison with other colleagues in the Finance & Operations functions.
  • Key responsibilities is driving staff, visitors and goods to required destinations in a timely and safe manner, ensuring vehicles and associated equipment safety and maintenance, and security management for the teams while in the field.
  • Fleet management and supporting with administrative responsibilities while in the office.

    Key outcomes:

    Fleet Management

  • Travel plan management for all staff and visitors and driving staff, visitors, goods or service providers on strategic trips, to high risk contexts or on long distances.
  • Fleet management ensuring that all vehicles are well maintained, insured, sufficiently fueled, clean and stocked with safety equipment.
  • Ensure that staff assigned any vehicle hand them back in good condition, with vehicle logs filled appropriately filled and a checklist of car condition and safety equipment done.
  • Ensure vehicles logs, maintenance logs are appropriately kept within agreed frameworks.
  • Ensure efficient use of vehicles, avoiding single person journeys and unnecessary movements through careful planning and facilitation of effective communication amongst staff needing transport support services.
  • Positive communication and successful negotiation (in line with Christian Aid’s policies and procedures) with officials and security or police forces, particularly at check points and border crossings.
  • Communication devices properly used and maintained.
  • All paperwork for vehicle, deliveries or other documentation correctly completed and recorded.

    About you

    You will be based in Nairobi and will work within the Finance & Operations role family and your key role will be to provide logistical & administrative support, fleet management, field security management and strategic driving services to the country programme. Significant travel within country is required.

    Christian Aid Grants & Compliance Officer - CASE-OVC Jobs in Kenya

    About the role

    The Grants and Compliance Officer will be part of the integral team of the CASE-OVC project funded by USAID and work in collaboration with other functional units for effective grants and contracts management. The role will support consortium partners and Local Implementing Partners (LIP) on sub-grant management and compliance. The role will also conduct and support daily grants compliance operations of the Christian Aid systems in CASE-OVC project.

    Key Outcomes:

  • Prepare and review budgets ensuring high quality standards and optimum cost recovery in alignment with organisational and donor requirements

  • Under the guidance of the Finance & Operations Manager communicate with donors or CA donor account managers to help resolve specific problems or respond to donor information requests
  • Provide technical assistance to partners/ LIPs in implementation and management of the grant cycles, budgeting, financial reporting and donor compliance
  • Support project teams in planning and executing partner trainings and capacity building on USAID rules and regulations, financial reporting and procurement guidelines
  • Support to ensure partner sub-grants are disbursed and accounted for in line with contractual requirements
  • Periodic review of internal controls and policies of LIPs and advice on strengthening and transaction verification through monitoring reports & transaction analysis.
  • Timely follow up of periodic partners’ fund requests and submission to Finance and Operations Manager
  • Provide technical support to ensure effective income tracking
    including cash flow, pre financing, timely and accurate payment requests and tracking outstanding amounts due from donors.
  • Support contract management capacity development through inception workshops, coaching, mentoring, online training and other support as required
  • Participate in community of practice on institutional income planning and contract management
  • Regular monitoring and management reports against key indicators, taking appropriate action where necessary including flagging risks for appropriate management action.
  • Guidance on and review of narrative and financial reports to ensure quality assurance before submission to donors.
  • Ensure accuracy in partners’ accounting and financial reporting. Proper budget allocation of expenses, reasonability of expenses and allow ability per donor regulations
  • Technical guidance and support in preparing for and managing donor audits including liaison with auditors and negotiating contested findings where appropriate.
  • Overseeing financial archiving procedures to ensure all required expenditure support documentation is properly maintained and availed when required
  • Conduct and document regular grantee site visits to ensure that pre-ward conditions are addressed and implemented by grantees within the period specified in the grant agreement
  • Co-ordinate the VAT claiming process for grantees and ensure that timely reimbursements are received

    Your key role is overseeing all aspects of a multi-million USAID OVC grant management, compliance, risk management in collaboration with other functional units. You will support consortium partners and Local Implementing Partners (LIP) on sub-grant management and compliance.

    Christian Aid Finance Assistant - CASE-OVC Jobs in Kenya

    About the role

    To support the finance officer by inputting financial data in an efficient, accurate and timely manner. To prepare financial documentation including cheques, petty cash reimbursement, petty cash advances and all staff floats. To ensure efficient and accurate cash and bank books are maintained and monthly accounts and returns are produced in a timely manner.

    Key outcomes:

  • Cash, bank books and other financial documentation maintained in an accurate and timely fashion.
  • Monthly accounts and financial returns produced and submitted in an accurate and timely fashion.
  • Local budgets are reviewed, updated and administered accurately.
  • Christian Aid and donor financial policies and procedures are complied with.
  • Senior finance staff are assisted in meeting office financial requirements.
  • Good relationships with third parties, suppliers and partners are maintained through positive communication.

    About you

    You will be based in Nairobi and you will provide support to the Finance Officer and will support the Finance and Operations Manager, principally in managing the account cash book, providing cash payments for the project, checking payment batches, preparing the monthly local staff payroll and maintaining accounts records. The Assistant will also play a co-ordination role between Nairobi and the regional offices.
