AWF HR Assistant Jobs in Kenya

The HR Assistant helps with the administration of day-to-day operations in the human resources department at African Wildlife Foundation (AWF). S/he carries out responsibilities in some or all of the following functional areas: filing, contract management, recruitment, leave administration, orientation, and processing of work permits.


This position is based in Nairobi, Kenya but supports functions across all of AWF’s Africa-based offices. The HR Assistant will report to the HR Officer.

Key Duties & Responsibilities

  • Coordinate recruitments, assist with the development of TORs/job descriptions, post advertisements, respond to applications, shortlist candidates, schedule interviews (as applicable), assist in the selection process, and prepare interview and recruitment reports.
  • Manage physical and electronic filing of the human resources department by ensuring that all files are compliant, up-to-date, and complete; share the employee filing system with the other offices.
  • Assist in drafting employment offer letters and contracts, including new contracts, amendments, and renewals; facilitate all signatures and electronic files for fully executed documents.
  • Send out a monthly summary of new and renewed contracts to the HR Officer and HR Director.
  • Process work permit requests for international staff.
  • Perform reference and background checks on
  • selected candidates.
  • Upon recruitment, collect all appropriate employment forms and provide to the finance department.
  • Assist in the development of employee materials for onboarding and offboarding.
  • Assist in coordinating new staff meeting schedules with relevant key staff, and directors (as applicable).
  • Provide administrative support to the HR department on a daily
    basis.
  • Draft human resources department meeting minutes.
  • Respond to employee queries in a timely manner.
  • Track calendar events for the function.
  • Other projects and duties as assigned.

    Qualifications

  • Bachelor’s degree in Human Resources Management or related field.
  • Higher Diploma in Human Resources Management
  • Member of IHRM.
  • At least 3 years' progressive experience in a non-profit organization and/or human resources department.
  • Proven experience in an international context.
  • Proactivity with excellent organizational skills and ability to multitask in a fast-paced environment.
  • Ability to provide good customer service with patience and a sense of urgency.
  • Ability to manage sensitive and confidential matters with the highest level of professionalism.
  • Professional, diplomatic, and thoughtful communication skills.
  • Strong level of competence in MS Office (particularly Excel); familiarity with HRIS systems or able to learn.
  • Fluency in French an added advantage.
  • Good writing skills.
  • Attention to detail and high aptitude.
