AERC Programme Administrator Jobs in Kenya


Job Purpose

The Programme Administrator, Training is responsible for the efficient and effective
administration of all grants and awards provided by the Training Programme (Training
division’s CMAP & CPP programmes) as well as overseeing Divisional financial administration relating to the activities of the Training Division. The incumbent will work closely with the Manager(s) for the CPP and CMAP to see that
Divisional performance standards are achieved with respect to financial management and
grant management within the Division.

Responsibilities

  • Maintaining contact with and evaluating grant utilization by grantees and participating universities as well as maintaining accurate and up to date accounts of all grant disbursements and grants awarded.
  • Continuous liaison and communication with
    grantees and participating universities to enhance the quality of service delivery to them.
  • Managing and maintaining an accurate database of PhD grant applicants to facilitate the grant and award selection process by the sub-training committee.
  • Assisting in donor allocation of funds as specified in the programme of work and budget and in reviewing all grant budgets and verifying all financial statements relating to grants and the training programme as a whole.
  • Corresponding with the applicants for the awards and fellowships offered by the Training Programme to ensure compliance with the award conditions.
  • Divisional Financial Administration Developing procurement plan.
  • Issuing payment to suppliers and service
    providers of the training
    department.
  • Ensuring donor contract compliance in all matters of fund utilization and expenditure by the training department.
  • Preparing periodic reports and projections of annual expenditure for the Training Programme.

    Qualifications

  • Bachelors’ degree in Business Administration or other relevant discipline
  • CPA (K) or equivalent
  • At least 5 years relevant experience.
  • Proven track record in programme or project administration
  • Ability to work with computerized accounting systems
  • Strong Financial management, problem solving and analytical skills
  • Good interpersonal skills
  • Good team player
  • Ability to work independently
  • Strong integrity and ability to maintain confidentiality
  • Ability to work under pressure and meet deadlines
  • Proficiency in standard office computer applications and databases such as; MS
    Office Word, Excel, PowerPoint and Internet
  • Ability to work in French as well as English is desirable
