World Vision NGO Supply Chain Officers Jobs in Nairobi

Work in Supply Chain Management Department to co-ordinate and manage procurement of goods and services for the activities of WVK ministry to achieve CWBO’s , with the aim of enhancing the Mission of World Vision efficiently and effectively while maintaining high standards of integrity and accountability.

Major Responsibilities:

Management and tracking of PRF’s assigned & RFQ process to ensure no delays, 30%

Receiving Purchase as assigned Requisitions for goods and services online through provision

As necessary liaising with the user and technical departments to ensure specifications on the PR meet market standards and user requirements

Keep track of all PRs as assigned to ensure there are no delays

Preparation and dispatch of Request for Quotations to approved vendors for goods and services that are not on contract

Evaluation and analysis of vendor responses to identify the best qualified supplier

Present the Quotation /Bid analysis to the Senior Supply Chain Management Officer for review before orders are placed or presented to the Tender Committee

Ensure timely placement of orders for goods and services & management, dispatch and progression of orders placed with vendors, 30%

Close out sourcing event in provision to move PRs to purchase orders for goods and services

Ensure purchase orders have been issued to suppliers in a timely manner

Progress and track orders with suppliers

Liaise with the stores office to ensure timely deliveries and dispatch of the goods to the users

Cost Savings initiatives in procurement of goods, works and services, 10%

Negotiate and document discounted prices with the vendors

Analyze prices against market rates and generate a periodic cost-benefit analysis

Document price index for various categories of procurement

Capacity Building and Support on sector specific SCM products and business processes, 10%

Capacity build staff on SCM processes and procedures

Orientation of new staff and partners including vendors

Identify and recommend to management new systems necessary

for effective supply chain management

Offer administrative support to WVK staff on existing and new SCM systems

Provide SCM support and input to grants acquisition teams in proposal writing

Supplier management and Compliance to WVK policies and standards 10%

Market Surveys and Vendor visits for existing and potential vendors of goods, services and works

Vet new vendors and potential suppliers

Provide report and recommend for Debarment/Blacklisting of vendors where necessary

Consolidate vendors list and forward for Blocked party screening for various vendors including new entrants.

Innovation Management, 5%

Industry research for new innovations.

Increase the visibility of ideas so that contributors with different skills and knowledge can help to identify and improve the best ideas.

Generate Cost benefits analysis for innovations

Qualifications: Education/Knowledge/Technical Skills and Experience

Degree in business related studies prefered

Post graduate qualification in purchasing and supplies management from CIPS, Level 4

A member of Kenya Institute Of Supplies Management (KISM)

Must have prior working experience of not less than 3 years in purchasing and supplies

Experience in working with ERP’s is an added advantage

Computer literate with excellent working knowledge in word and excel

Working Environment / Conditions:

Based in the National Office, Karen with few travels to the field as required
