Purpose of Position

To ensure smooth facilitation of EARO business including airport drop offs, guests’ liaison and facilitation of airport passes for guests while ensuring World Vision EARO vehicles are well maintained.

This role will primarily support the Regional Leaders Office, in country and out of country travel needs with additional liaison roles in the Administration department

Major Responsibilities

Liaison support

  • Ensure effective coordination and facilitation of Regional Leader’s in-country travels according to his requests.
  • Ensure safety of staff and vehicle while on journey
  • Deliver correspondence and conduct follow-ups as required.
  • Facilitate airport pickups for guests, VIP visitors and transportation during official visits.

    Administration

  • In collaboration with Administration department liaise with service providers to ensure quality services
  • Act as a backup and support for the administration team as needed
  • Outside driving duties perform other duties as assigned by the supervisor i.e Assist with office and meeting room re-arrangement for various meetings/events, filing, photocopying and maintaining stores when required including delivery/collection of various items, mailing service and payment of office telephone and other bills to ensure administrative support to clients.

    Vehicle care and maintenance

  • Ensure vehicle cleanliness all the time.
  • Keep vehicle movement log book up to date.
  • Check mechanical and operational soundness of the vehicle.
  • To ensure that the vehicle is serviced at the required time.
  • To check and ensure that all vehicle tools are in place and intact.
  • Undertake minor repairs and recommend for major vehicle repairs.
  • Park the vehicle at the recommended parking areas by WV EARO
  • Seek for permission to use the car as per the laid down policy and procedures.
  • Obey traffic laws
  • Submit all the vehicle spare keys to the Fleet management office for safe custody.
  • Surrender vehicle keys to the respective admins every end of trip
  • Report all vehicle malfunctions to the fleet office.
  • Initiate procurement process for all motor vehicle repairs and maintenance.
  • Vehicle reports
  • Prepare monthly and other vehicle reports and file copies of
    the same after approval.
  • Forward all invoices and fuel returns to fleet management for payment process.
  • In case of accident, forward detailed report for claim processing.

    Knowledge, Skills and Abilities
  • Minimum education, training and experience requirements to qualify for the position:
  • College Diploma in administration or related discipline with two years’ experience in a similar job.
  • Basic knowledge of vehicle maintenance and first Aid and other safety and security measure.
  • Knowledge of transport regulatory acts/Law
    Basic knowledge of Computer applications (Microsoft windows, word , excel and internet)
  • Additional work experience required as a minimum qualification for this position.
  • High professional ethics and whose integrity is beyond reproach
  • Good interpersonal communications skills.
  • Good coordination skills
  • Must be a committed Christian, able to stand above denominational diversities.
  • Attend and participate/lead in daily devotions and weekly chapel services.
  • Must observe punctuality and be willing to work extra hours.
  • Must be honest and reliable.
  • Demonstrate and maintain high levels of personal hygiene
  • Physical qualities – one of good health status with no disabilities, has both mental and manual dexterity.
  • Mental alertness, able to balance work and personal life.
  • Skills in mechanics
  • License, registration, or certification required to perform this position:
  • Clean and valid driving license with Automobile Association certification
  • Proven driving skills – including safe driving
  • An understanding of protocol and various government relations that influence World Vision work
