Responsibilities

  • Request creation of vendors for new
  • Cooperating Partners (CPs);
  • Create Service Outline Agreements (SOAs) and
  • Purchase Orders (POs) as soon as the Field
  • Level Agreements (FLAs) are signed or extended;
  • Verify invoices and supporting documents ensuring Cooperating Partners (CPs) reports are attached and certified;
  • Maintain and regularly update invoice tracking system;
  • Download and prepare Cash Based Transfers related costs invoices from SCOPE, share with Area
  • Offices for verification and follow up submission by partners;
  • Prepare waybills analysis and create Service Entry Sheets;
  • Maintain link with Finance Unit on invoice processing and follow-up with Area Offices and partners on incomplete invoices;
  • Prepare weekly updates and share with management and Area Offices;
  • Monitor open Purchase Orders (POs) and ensure closure upon completion of activities;
  • Maintain files to keep proper audit tracks;
  • Liaise with other units to resolve issues and clarify or obtain additional information;
  • Maintain accurate records and files within the field of work;
  • Draft correspondence related to the field of work;
  • Perform other duties as required.

    Qualifications

  • Secondary school education, preferably supplemented by courses in a field related to WFP programmatic activities.
  • At least three years of progressively responsible support experience including at least one year in the field of accounting, transport, insurance, statistics, operations or another related field.
  • Fluency in both oral and written communication in English is a requirement.
  • Experience utilising computers including word processing, spreadsheet and other software packages.
  • Has experience collecting and monitoring financial data on projects and programmes.

    World Food Programme National Procurement Officer Jobs Opportunities in Kenya

    Responsibilities

  • Contribute towards the development of procurement plans and processes ensuring compliance with wider procurement policies and WFP standards.
  • Support or manage procurement programs and operational activities, (e.g. issue tenders, evaluate offers and negotiate/award contracts), following standard processes to contributing to successful procurement of food and non-food commodities or services.
  • Track and analyse data to provide recommendations for process improvement.
  • Collate information and draft appropriate responses to recommendations to support auditing of procurement activities and ensure conformity with compliance rules.
  • Work in close collaboration with internal counterparts and external partners including suppliers, superintendents, companies, etc to align procurement activities with wider programmes and ensure a coherent approach to meeting food assistance needs.
  • Support training of WFP staff to take a strategic and proactive approach to the procurement of food and non-food commodities and services, for example designing and reviewing training materials.
  • Guide and supervise more junior staff, acting as a point of referral and supporting them with more complex analysis and queries.
  • Follow standard emergency preparedness practices to ensure WFP is able to quickly respond and deploy food and needed goods and services to affected areas at the onset of the crisis.
  • Act in an assigned emergency response capacity as required to meet emergency food assistance needs.

    Qualifications

  • Experience with procurement activities (purchasing, vendor research, etc.).
  • Experience conducting cost analyses.
  • Experience working with vendors or other partners.

    World Food Programme Consultant - External Partnerships Officer Jobs Opportunities in Kenya

    Responsibilities

  • Coordinate and provide internal briefing documents for the Regional Director on the occasion of High –level and other meetings.
  • Maintain a strong coordination relationship with UNHCR (and other UN agencies as relevant) at the regional level, in close collaboration with the RBN Programme team, in support of WFP’s refugee assistance objectives in the region.
  • Drive the roll-out of the WFP Integrated Roadmap in the region, providing guidance and advice to WFP Country Offices on the development of country strategic plans with regards to positioning and partnership issues.
  • Advise Country Offices on effective partnerships with NGOs.
  • Country Offices on NGO related topics to advise corporate NGO guidance and tools.
  • Liaise closely with the PGC division on partnership issues, and respond to requests for information and briefing.
  • In collaboration with Regional Bureau Programme, further refine the NGO Partnership oversight checklist to mitigate risks and ensure effective, efficient partnerships at implementation level.
  • Support the global (International Federation of Redcross).
  • Implement relevant elements of the Partnership work plan for the region, to ensure timely and cost-effective delivery of results, in accordance with WFP and Corporate Partnership strategy (with travel to support Country Offices, as required).
  • Provide technical (partnerships) and quality control review of Standard Project Reviews (SPRs) from the region
  • Regional focal point for South-South Collaboration.

    Qualifications

  • Advanced university degree in Political Science, International Development, Development Economics, Journalism, International Relations, Communications or other relevant field, or First University degree with additional years of relevant work experience.
  • At least six years of postgraduate progressively responsible professional experience in a relevant field of work
  • Ability to translate political positions and agreements into meaningful operational outcomes;

    World Food Programme Policy Officer Jobs Opportunities in Kenya

    Responsibilities

  • Assessment and Mapping of Local Food Systems and Value Chains
  • Capacity Building for National and County Institutions
  • Develop and update project work plans, monitor implementation to check for quality of delivery, timeliness and effectiveness and efficiency.
  • Draft inputs for donor and WFP standard project reports and periodic project report updates.
  • Participate in project evaluation processes – baseline and end line surveys and reporting

    Qualifications

  • University Degree in one or more of the following disciplines: Agriculture/Agronomy, Horticulture, Agriculture Economics, Agribusiness, Agricultural Extension, Agricultural Education, Food Science and Technology and equivalent qualification from a recognized institution.
  • Served in comparable and relevant position in the public service or private sector with an International Organisation for at least five (5) years.
  • Extensive knowledge of local food market systems in Kenya. Knowledge and experience in public food procurement and supply chain management will be an added advantage.
  • Possess excellent communication skills with ability with people from different cultural settings and organisations.
  • Good knowledge of key functions of the Ministries of Agriculture, Livestock, Water and irrigation, Ministry of Health – Nutrition and Food Safety Divisions.
  • Skills and experience in strategic and policy engagement with both national and county governments.
  • Advanced analytical skills, resourcefulness, maturity of judgement, negotiating skills and ability to communicate effectively in written and spoken English.
