Job Description

WeForest (www.weforest.org) is a fast growing international non-profit organization with headquarters in Belgium. We develop reforestation projects to combat global warming and extreme poverty.

Our mission is to conserve and restore the ecological integrity of forests and landscapes by engaging communities to implement and deliver lasting solutions for climate, nature and people.

In Ethiopia, WeForest is engaged in large-scale Forest and Landscape Restoration (FLR) programs in Northern Ethiopia (Amhara and Tigray regions). Through our intervention, we contribute to the country's Climate Resilient Green Economy (CRGE) strategy and Growth Transformation Plan. Partnerships with research institutes and universities are promoted across our interventions.

Ethiopia Program

WeForest is active in Ethiopia since 2016. The main aim of the projects are to improve ecosystem wellbeing and to benefit local community enabling more productive and resilient landscapes.

In general, the overall program comprises with three main components: (i) ecological restoration and conservation of degraded forests and soils, (ii) livelihood improvement of local community, and (iii) capacity building, research, knowledge dissemination and scaling up best practices.

Furthermore, the project focuses on gender equity and establishing strong linkages among governmental, non-governmental and private stakeholders. Since 2016, WeForest Ethiopia, with its partners restored over 15,000 ha degraded lands and engaged over 8,000 households in sustainable income generating businesses.

Our activities are growing and WeForest Ethiopia is now looking for an energetic and talented Logistic, administration and finance assistant to achieve its ambitious plan, restoring over 65,000 ha and addressing over 40,000 households by year 2030.

Role

The Logistics, Administration and Finance assistant is responsible to assist the Administration and Finance Manager on the Logistics, Finance and Administrative issue.

Provide adequate logistics functioning of WeForest, by taking into consideration the logistics manual application. Assisting proper administration and finance support of the entire program by applying and following WeForest HR and finance policies and regulations.

General Terms & Conditions

Responsibilities include:

Logistics Support

  • To undertake local procurement as required according to WeForest procurement policies; ensure adequate documentation is prepared for all procurements

  • Conduct local market survey and identify key supplies.

  • Organize and facilitate the purchase committee meetings as necessary.

  • Ensure there is exact understanding of what has been requested, seek clarification if necessary.
    Collect the receipts and invoices, check they are correctly filled

  • Perform all the necessary filing of procurements and provide the finance team with complete documentation for timely payments.

  • Ensure to track the procurements, lead-time and reception recorded in GRN as per ordered specifications.

  • Ensure high quality of service/supplies delivered to WeForest programs

  • Receiving and checking deliveries to ensure that the correct amount and type of stock is delivered.

  • Signing delivery notes upon receipt of the stock.

  • Control and record project fixed assets, to manage the equipment and ensure that equipment is properly used and prepare asset reports to Admin & finance Manager

    Financial Support

  • Maintain cashbooks and accounts records and
    ensure payments are allocated to the correct project and budget line

  • Ensure all the necessary documentation is collected, checked and attached to payment vouchers

  • Coding of transactions and make sure it is in line with project budget lines

  • Prepare monthly expenditure report

  • Collect bank statement and make reconciliation on time

  • Follow staff work advance cleared /settled on time

  • Ensure telephone and electricity bills are paid in time

  • Ensure payroll tax , pension and withholding tax paid on time

  • Ensure all Project, Logistic and Administration relevant documents are properly filed.

    Admin. & Human Resource Support

  • Assisting the Administrative and Finance Manager in the process of recruitment

  • Provide all documents related to payroll to preparing it in advance.

  • Ensuring the pension process in line with the country’s law.

  • Submitting the pension profile form with the supporting document to the appropriate private organization employee’s social security agency.

  • Following with the agency to receive employees’ pension ID

  • Support insurance payments and registry process

  • Keep custody of the Annual Leave Plan and Annual Leave Request forms.

  • Keep personnel file record and follow up the completion of personnel file as per the checklist.

  • Maintain an efficient filing system for documents, books and references.

  • Deliver and follow letters to different government office and partners

  • Any other duties assigned by the office.

    Reporting to: Finance and Administration Manager,

    Start date: As soon as possible

    Duration of Contract: One year, with possibility of extension subject to performance and funding availability.

    Probation Period: 3 months

    Location: Addis Ababa, with frequent travel into the project sites,

    Working hours: Full-time, working Monday through Saturday morning, up to a maximum of 44 hours per week. Hours will vary depending on project needs and flexibility is essential

    Job Requirements

    Minimum Requirements and qualifications

  • University degree in the field of Business administration, Management, Accounting, supply chain, or related field.

  • At least three years of relevant working experience related to the above field with particular focus on Logistics, procurement, Finance and Administration

  • Excellent good communication with staff ad stakeholders of the organization

  • Experience in quality data management and material handling.

  • Flexible in terms of traveling and living conditions

  • Good written and spoken English

  • Good Computer skills (MS Package)

  • High capacity to organize his/her work, and manage priorities

  • Ability to work under high pressure and without constant supervision

    Desirable

  • Experience working with NGO/Humanitarian sector

  • Driving license with experience
