Job Summary

Reporting to the Chief Manager Procurement, the Procurement Officer is charged with the responsibility of coordinating procurement efforts to efficiently and effectively enable budget holders maximize value to meet university objectives.

Key Responsibilities

  • Drafting of Request for Quotations/ Request for Proposals and dispatch to prospective Vendors.
  • Work with User departments closely to develop specifications on goods or services required.
  • Coordinating the opening of Quotations/Proposals/Bids from vendors.
  • Provide secretariat services to the tender opening and technical evaluation committees.
  • Preparation of online requisitions for LPOs and Dispatch LPOs to vendors after approval.
  • Liaising with vendors to supply the goods or services as per the LPO.
  • Ensure quality of goods by liaising with the user departments and inspection and acceptance committee.
  • Vendor vetting and registration.
  • Vendor evaluation and selection.
  • Carry out periodical Market survey for price and quality.
  • Preparation of periodic procurement Reports.
  • Drawing, administration and compliance of service and works contracts.
  • Procure good and services as per the universities policies and procedures.
  • Make sure prices are within the market range.
  • Order expediting and vendor management.
  • Give feedback to users on the status of their requests.
  • Advice the departments on the purchasing budgetary allocations, utilization and variance
  • Liaise with overseas vendors and clearing argent to ensure all the import regulations and laws are met on the process of buying overseas.
  • Verifying payment checklist by ensuring that all necessary support document are attached to facilitate payments.
  • Coordinate
    Disposal of obsolete stocks and assets as per the University Procurement and Disposal Policy.

    Minimum Educational/Professional Qualifications & Experience
  • Bachelor Degree in Procurement/ Supply Chain Management/ Business
  • Professional Diploma in Purchasing and supplies/ Supply Chain Management
  • Membership to a professional body
  • At least 5 years’ experience in similar procurement position
