Duties

Protocol Assistant provides operational and planning support in executing daily task as well as serves as primary back-up to the Ambassador’s Protocol Specialist/Chief of Protocol.

Protocol Assistant supports the Protocol Specialist/Chief of Protocol, Ambassador, Deputy Chief of Mission, their spouses, senior post staff, LE Staff, and other mission officials in a variety of Protocol-related matters such as providing protocol guidance, protocol liaison, and setting up appointments and meetings with the Malawi Government Officials, preparing official correspondence, diplomatic notes, and invitations for the Front Office.

The Protocol Assistant focuses on internal planning and execution of events, as well as serving as the internal liaise to help streamline channels of communication for the Chief of Protocol.

Serves as a point of contact for internal planning committees and monitors on-going communication with the Ministry of Foreign Affairs’ Protocol Department, which is reported to the Chief of Protocol.

Develops and maintains a large network of contacts with all office directors, special assistants, and personal assistants in all government offices, diplomatic corps, business, and civil society. Provides logistical and operational coverage during official receptions and events

Qualifications and Evaluations

Experience:

  • Minimum of 2 years of progressively responsible experience in an administrative position with executive level officials, including in government agencies or private organizations is required.

    Job Knowledge:

  • Must have working knowledge of host government protocol guidelines, general etiquette, and social mores of Malawi.

  • Must understand aspects of political structures in Malawi.

  • Knowledge of computer software such as word processing, spreadsheets, presentations, and databases.

  • Knowledge of business correspondence grammar, punctuation, and formatting.

    Education Requirements:

  • Two years of college studies required.

    Language:

  • Level 4 - Fluent; written/spoken Chiwewa and English, including the ability to translate

    Skills and Abilities

  • Advanced typing skills at 40 wpm (this will be tested) and
    proficiency in operating word processing equipment required.

  • Ability to communicate effectively orally and in writing.

  • Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. Mission in Lilongwe, Malawi may receive a compensation package that may include health, separation, and other benefits.

  • For EFMs, benefits should be discussed with the Human Resources Office.

  • The pay plan is assigned at the time of the conditional offer letter by the HR Office.
