Duties

  • Under the supervision of Information Programs Office, manages all unclassified pouch and diplomatic mail operations at the mailroom, supervising and rating seven (7) Mail Clerks who support all mailroom functions.

  • Serves as primary local liaison with airport authorities, and mail handling contractors. Sorts and distributes mail, processes incoming diplomatic pouches, and prepares diplomatic pouches for dispatch.

  • Responsible for transportation, safeguarding, receipt and delivery of all incoming and outgoing DPO mail and unclassified diplomatic pouches.

  • Maintains all required paperwork.

  • Ensures all security standards are met for proper storage and handling of DPO accountable mail, DPM registered, certified and pouch material.

  • Provides guidance to all offices authorized to use DPO and pouch services.

  • Tracks and is accountable for all funds issued to the mailroom.

  • Ensures all BPA contracts are kept up-to-date and tracks and updates the mailroom Franking machines required for official postage.

    Qualifications and Evaluations

    Requirements

  • Minimum of two (2) years in external or internal customer service where tasks included, problem solving and mail handling or other related clerical experience, plus one (1) year of supervisory or team lead experience are required.

    Education Requirements

  • Successful completion of secondary school.

    Evaluations

  • Level IV (fluent) English language is required.

    Skills and Abilities

  • Must show ability to supervise and manage staff effectively.

  • Excellent interpersonal and customer service skills, including ability to calmly handle customer complaints up to the Executive level.

  • Strong computer skills including typing skills and accurate data entry into web applications, with knowledge of the Microsoft Office Suite (Excel, Word, and Outlook).

  • Must possess a valid driver's license. Must be willing to work flexible hours, if required.

  • Must be able to lift 70 pounds and safely move up to 250 pounds with assistance from coworkers or use of mechanical devices

    Language proficiency and Skills and Abilities may be tested.

    Qualifications

    All applicants under consideration will be required to pass medical and security certifications.

    Agency Benefits

    Locally Employed Staff, including Members of Household (MOHs), and Third-Country Nationals (TCNs), working at the U.S. Mission in Accra, Ghana may receive a compensation package that may include health, separation, and other benefits.

    For EFMs, benefits should be discussed with the Human Resources Office.

    The pay plan is assigned at the time of the conditional offer letter by the HR Office.

    Important

    Applicants who claim status as a preference-eligible U.S. Veteran must submit a copy of their most recent DD-214 (“Certificate of Release or Discharge from Active Duty”), Letter from Veterans’ Affairs which indicates the present existence of a service-connected disability dated within the past six months, equivalent documentation, or certification.

    A “certification” is any written document from the armed forces that certifies the service member is expected to be discharged or released from active duty service in the armed forces under honorable conditions within 120 days after the certification is submitted by the applicant.

    The certification letter should be on letterhead of the appropriate military branch of the service and contain (1) the military service dates including the expected discharge or release date; and (2) the character of service.

    Acceptable documentation must be submitted in order for the preference to be given.

    This level of preference applies to all Foreign Service employees on LWOP and CS with re-employment rights back to their agency or bureau.

    How to Apply
