US Department of State Administrative Assistant Jobs in South Africa; The Administrative Assistant provides operational and administrative support to the Bureau of Disaster and Humanitarian Response (DHR) staff in Pretoria. The role ensures smooth office operations, logistics, communications, file management, travel coordination, and information management to support U.S. humanitarian assistance and disaster response missions.
Essential Duties & Responsibilities
Operations & Logistics
Maintain activity calendars and team schedules.
Coordinate travel and logistics for DHR staff and USG officials (authorizations, visas, lodging, transport).
Process ILMS requests, RSO access, myServices, and e‑travel arrangements.
Organize team meetings, calls, and events (invitations, agendas, reservations, logistics).
Escort DHR guests and visitors.
Administration & File Management
Establish and maintain DHR contacts database.
Create and manage folders and filing systems.
Support onboarding of new/TDY staff.
Draft, edit, and coordinate programmatic, technical, or administrative documents.
Facilitate clearance of memos and reports.
Ensure records retention and archiving per federal policies.
Communications & Coordination
Attend meetings/events in administrative support capacity.
Liaise with partners and stakeholders for clarifications.
Compile input for routine/ad hoc information requests (trip reports, quarterly reports, data calls).
Track management and administrative taskers to meet deadlines.
Finance & Procurement
Support financial management tasks (expenditure tracking, routine payments).
Manage Time & Attendance (T&A) reports.
Obtain quotes and prepare purchase orders for supplies.
Other Duties
May travel regionally or internationally to provide administrative/logistical support for humanitarian response operations.
Minimum Qualifications
Bachelor’s Degree in Administration, Office Management, or related field.
1–2 years’ relevant experience.
Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
Experience with administrative/workflow tools (expense systems, travel platforms).
Strong written communication skills.
Prior U.S. Federal experience and knowledge of FAM, diplomatic post operations, and Federal Travel policies a plus.
Experience in international development/humanitarian assistance preferred.
Must be legally authorized to work daily in Pretoria, South Africa.
Must be able to obtain and maintain a security clearance.
Compensation
Salary commensurate with local compensation for FSN‑08 equivalent position in South Africa.
