Org. Setting and Reporting

The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the Director-General of UNON is the representative of the Secretary-General in Kenya.

UNON supports programme implementation of the United Nations Environment Programme (UNEP),the United Nations Human Settlements Programme (UN-Habitat) and the Resident Coordination System (RCS) globally, as well as other UN offices in Kenya, by providing administrative, security, conference and information services.

This post is located in the United Nations Office at Nairobi, Central Support Services, Property Management Unit (PMU) and reports to the Chief, Property Management Unit. Within delegated authority, the incumbent will perform the following duties:

Responsibilities

• Update information about inbound movement of goods to the UNON, based on information provided by vendors and freight providers.
• Receive deliveries from vendors or freight forwarders, verifying the quantity and general condition of deliveries.
• Review all documentation received with incoming delivery.
• Process all incoming shipments/deliveries through Umoja (the UN Enterprise Resource Planning Tool - SAP) and prepare Receiving and Inspection reports in Umoja.
• Conduct with the assistance of the relevant requsitioner, a detailed physical inspection of the items delivered.
• Maintain records of all incoming shipments in electronic and hard copy format.
• Coordinate and prepares ad-hoc, periodic and annual physical count activities for Inventories and Warehouse managed inventories.
• Review physical count results and takes the necessary actions to address count discrepancies.
• Assist in setting the necessary Inventory/warehouse planning levels for safety stock and replenishment points.
• Provide information regarding stock levels, usage rates, economic order quantity, re-order point and other stock-level advice.
• Identify issues and assists in implementing solutions to problematic areas.
• Monitor the Umoja (UN ERP tool), ensuring anomalies are identified and addressed immediately;
• Provide training and advise on procedures and inventory-related matters.
• Assist in preparation of accurate and auditable statistical reports for management and draft correspondence, as required.
• Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
• Assists with visualizations and updating information material such as web pages or brochures.
• Perform other duties as required.

Education

  • Completion of high school diploma or equivalent is required. Supplementary courses or additional training in purchasing and supplies is desirable.

  • Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.

  • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.

    Successful passing of the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters (UNHQ), Economic Commission for Africa (ECA), Economic and Social Commission for Western Asia (ESCWA), United Nations Office at Geneva (UNOG), United Nations Office at Vienna (UNOV), International Criminal Tribunal for Rwanda (ICTR) or International Criminal Tribunal for the former Yugoslavia (ICTY) may be
    accepted in lieu of the GGST.

    The GGST is administered to applicants when required before the administration of a written assessment and/or interview.


    Work Experience

  • A minimum of five (5) years of relevant progressively responsible work experience in Property Management, Property Control and Inspection, Property Disposal, Receiving and Inspection or similar position is required.

  • Experience working with IPSAS, Umoja Database, Receiving and Inspection and Property Disposal with relevant roles is required.

  • Experience in managing and maintaining data in computerized databases is required.

  • Experience in receiving/shipping for IT and Non-IT assets is desirable

  • Experience supporting more than one entity or multiple clients simultaneously is desirable.

  • Experience in providing property management/logistics support services in an international organization is desirable.

  • One (1) year or more of experience in data analytics or related area is desirable.

    Languages
  • English and French are the working languages of the United Nations Secretariat. For this position(s) advertised, fluency in oral and written English is required.

  • Working knowledge of another UN language is desirable.

    Note
    "Fluency equals a rating of "fluent" in all four areas (read, write, speak, understand) and " Knowledge of" equals a rating of " confident" in two of the four areas.

    Assessment

    Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.
