United Nations Procurement Assistant Jobs in Nairobi

The United Nations Office at Nairobi (UNON) is the UN Headquarters in Africa and the representative office of the Secretary-General.


We support programme implementation of the UN Environment Programme (UNEP) and the UN Human Settlements Programme (UNHABITAT) globally, as well as other UN offices in Kenya, by providing administrative, conference and information technology services.

These positions are located in the United Nations Office at Nairobi, Procurement Section at the Nairobi duty Station.

Responsibilities

  • Receive and review the Shopping Carts from UNEP, UN-HABITAT and UNON in the Enterprise Resource Planning (ERP) module for clarity, accuracy and adequacy of specifications.
  • Maintain the e-Procurement Tracking System to ensure that vendors are informed of the status of requisitions, and do follow up action on any delays, non-delivery of goods, etc.
  • Initiate procurement action by:
  • Drafting Requests for Quotations (RFQ) and Invitations to Bid (ITB);
  • Issuing the RFQ/ITB to the identified suppliers;
  • Receiving the quotations/bids and preparing abstracts of quotations/bids;
  • Drafting Headquarters Committee on Contracts (HCC) presentations, as required.
  • Respond to queries on the status of requisitions and purchase orders; provide factual information contained in procurement documents to vendors and staff.
  • Raise Purchase Orders (POs) and submit them for approval in the ERP module, dispatching them to vendors and substantive offices and transmitting them for payment purposes.
  • Liaise with vendors and requesting offices, as necessary, for example in non-delivery of goods.
  • Maintain relevant internal database and files: keeps track of any contractual agreements, system contracts etc and informs affected users of contractual rights and obligations.
  • Perform any other relevant duties that may be assigned by the
    supervisor, including but not limited to, covering for colleagues in the Section during their absence.

    Qualifications

  • Knowledge of procurement policies, processes and procedures generally and, in particular, those related to the purchase of supplies and services.
  • Knowledge of financial rules and regulations and ability to research and gather information from a variety of standard sources and to apply good judgment in the context of assignments given.
  • Works collaboratively with colleagues to achieve organizational goals; solicits input by genuinely valuing others’ ideas and expertise;
  • High school diploma or equivalent is required. Supplementary courses or additional training in procurement is highly desirable.
  • A minimum of five (5) years of progressively responsible experience in procurement or related area is required.
