Org. Setting and Reporting

The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. UNON supports programme implementation of the UN Environment Programme (UNEP), UN Resident Coordination System (RCS) and the UN Human Settlements Programme (UN-Habitat) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org).

This post is located in the Nairobi duty station, the Information and Communications Technology Services (ICTS) within the Division of Administrative Services, UNON. The incumbent reports to the Supervisor of the Business Relationship Management team. Within delegated authority, the Information Systems Assistant will be responsible for the following duties:

Responsibilities

• Organizes business analysis meetings, reviews client requirements and maps to existing ICTS services and SLAs in liaison with Service owners.

• Drafts and processes new client SLAs in line with identified Service level requirements and manages the onboarding of new clients to ICTS Services.

• Maintains positive working relationships with clients and counterparts through the establishment of a client communications plan and regular client feedback mechanisms.

• Develops reports and dashboards to effectively convey information to management and summarize findings.

• Maintains ICTS Service catalogue, rate cards, Service KPIs and SLA processes for new and existing clients.

• Manages, designs, creates, produces and maintains client facing documentation for relevant services, systems and products; manages and administers changes to user documentation in accordance with prevailing change management and operation procedures.

• Assists in developing and improving internal processes and standard operating procedures to support the BRM function.

• Drafts correspondence, outreach campaigns and other communications; including work plan revisions and other related issues, as well as prepares unit contributions for a variety of periodic reports.

• Keeps abreast of developments in the field; conducts research on new technologies; performs benchmarking and proposes new acquisitions; assists in the implementation of new technologies.

• Provides guidance and training to new/junior staff; plans day-to-day work and supervises other staff as required.

• Provide strategic support to the Service Chief in the management of the Front Office.

• Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.

• Assists with visualizations and updating information material such as web pages or brochures.

• Performs other related duties as required.

Competencies

Professionalism:

Knowledge of information and communications technology (ICT) project management and business analysis methodologies. Knowledge of organizational information framework and enterprise application systems. Knowledge of system development workflow and document flow
processes, ability to conduct research and gather information from a wide variety of standard and non-standard sources.

Planning & Organizing:

Develops clear goals that are consistent with agreed strategies. Identifies priority activities and assignments; adjusts priorities as required. Allocates appropriate amount of time and resources for completing work. Foresees risks and allows for contingencies when planning.

Client Orientation:

Considers all those to whom services are provided to be “clients” and seeks to see things from clients’ point of view. Establishes and maintains productive partnerships with clients by gaining their trust and respect. Identifies clients’ needs and matches them to appropriate solutions.

Education

  • Completion of high school diploma or equivalent is required. Additional training and a technical or vocational certificate in information technology, computer science or other related areas is required.

  • Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Applicants who have not passed the GGST at the time of application may be invited for the test after submitting an application.

  • Staff members who were granted a fixed term, continuing or permanent appointment as a result of having passed a predecessor test recognized by the Office of Human Resources Management, and who have continuously held such appointments, are not required to take the new test.

    Job - Specific Qualification

  • A certification in Project management, ITIL and BRM certifications are desirable.

    Work Experience

  • A minimum of ten (10) years of experience in information systems analysis and programming, systems administration and maintenance, software development, information management, business relationship management, technical writing or related area is required.

  • One (1) year or more of experience in data analytics, data visualization applications or related area is desirable

  • Experience with delivering and monitoring service delivery to a diverse client base is desirable.

  • Experience using Enterprise Resource Planning System (ERP) systems is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the position(s) advertised, fluency in English is required; Knowledge of another official United Nations language is desirable.
