United Nations Office at Nairobi Protocol Assistant Jobs; The Protocol and Liaison Assistant supports the Host Country Services Unit (HCSU) within UNON’s Central Support Services. The role ensures timely processing of host country privileges and services for UN staff and dependents, including accreditation, visas, vehicle registration, VAT exemptions, and airport passes, while maintaining strong liaison with Kenyan government departments.

Responsibilities

Accreditation & Identity Management

  • Arrange host country notifications for arrival/departure of staff and dependents.

  • Process issuance and renewal of diplomatic identity cards and PINs.

  • Monitor and follow up delays with host government departments.

    Immigration & Permits
  • Process re‑entry passes, entry permits, and visa extensions for staff, interns, and consultants.

  • Facilitate issuance of Kenya entry visas for meeting participants.

    Transport & Vehicle Services
  • Process issuance/renewal of Kenyan driving licenses.

  • Register official and private vehicles of privileged staff.

  • Manage transfer/disposal of vehicles and issuance/retrieval of number plates.

    Tax & Duty Exemptions
  • Process official VAT exemptions, blanket exemptions, and individual VAT claims.

  • Monitor and follow up delays with relevant authorities.

    Airport Access
  • Coordinate issuance of temporary and annual airport passes for eligible senior staff.

    Information & Communication
  • Maintain accurate content on HCSU website, SOPs, and staff guidelines.

  • Conduct weekly induction for new staff and focal points.

  • Draft correspondence, note verbales, and covering letters.

    Data
    & Reporting
  • Collect and analyze data for reports, knowledge management, and decision‑making.

  • Assist with visualizations and updating information materials.

    Other Duties
  • Stand in for other protocol assistants during absence.

  • Perform additional tasks as assigned.
