United Nations Office at Nairobi Human Resources Assistant Jobs; The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa, supporting UNEP, UN-Habitat, RCS, and other UN offices in Kenya. The HR Assistant(s) will be located in the Human Resources Management Service (HRMS), Division of Administrative Services, reporting to the Team Lead or Section Chief in the Staff Benefits and Entitlements Section (SBE).

Responsibilities

Contracts & Staff Movements

  • Carry out onboarding processes, process personnel actions, issue Letters of Appointment, monitor contract expirations, and process extensions.

  • Process temporary and permanent staff movements and related administrative actions.

  • Process off-boarding actions for separating staff.

  • Assist staff with documentation related to benefits and entitlements.

    Benefits & Entitlements
  • Maintain personal status of staff and administer entitlements related to dependents.

  • Respond to queries on staff benefits and entitlements.

  • Review documentation and process entitlement-related actions in ERP system.

  • Process travel requests (home leave, family visit, education grant travel).

  • Review and approve time and attendance requests (parental leave, sick leave, R&R, etc.).

  • Monitor submission of annual declarations and follow up.

  • Review and prepare documentation related to health/life insurance and Joint Staff Pension Fund.

    Other Duties
  • Monitor implementation of staff benefits and entitlements in compliance
    with rules.

  • Collect and analyze data for knowledge sharing and decision-making.

  • Maintain tracking tools and update HR records.

  • Assist with visualizations and updating information materials.

  • Participate in special HR projects and ad hoc clean-up exercises.

  • Guide and supervise junior staff.

  • Perform other relevant duties as required.

  • Professionalism – knowledge of UN HR rules, ability to perform broad range of HR actions, initiative, persistence, and commitment to gender equality.

  • Communication – clear speaking and writing, active listening, openness in sharing information.

  • Client Orientation – productive partnerships, trust-building, problem anticipation, timely delivery of services.

    Languages

  • Fluency in English required.

  • Knowledge of French desirable.
