Org. Setting and Reporting

This position is in United Nations Mission in South Sudan (UNMISS) duty Station Juba. The Transport Assistant will report to the Transport Unit Supervisor.

The United Nations Mission in South Sudan (UNMISS) was initially established for a period of one year from 9 July 2011, under Security Council Resolution 1996 (2011), with the intent to renew for further periods as needed.

Since then, UNMISS has been renewed consistently with the Security Council determining that the situation in South Sudan continues to pose a threat to international peace and security in the region. Currently, under Resolution 2625 (2022), the Council has extended the UNMISS mandate until 15 July 2023.

Responsibilities

Under the overall guidance and supervision of the Transport unit Head, the Transport Assistant will be responsible to perform the following duties:

  • Process daily activities for Bus shuttle services carried out and prepare passenger summary report.

  • Prepare daily transport dispatch vehicle and driver movements. Addresses routine issues. Escalate more complex issues for the attention of the supervisor.

  • To Prepare driver’s duty roster to effectively support shuttle services without interruption.

  • Monitor unit daily attendance and prepare weekly and monthly attendance summary.

  • Track staff leave and advise the unit Supervisor on manpower and Vehicle availability.

  • Assist in travel arrangements for staff on duty, supporting Troop Rotations, i.e., preparation of official leave with travel, travel requests, Movement of Personal (MoP’s), Accommodation requests and security clearances. Follow up on travel claims for Dispatch Staff.

  • Monitor stocks of office supplies, PPE for unit staff, and place orders when necessary.

  • Coordinate with other units to ensure timely service delivery in compliance with Transport established policies.

  • Assist in vehicle tasking for the Internal mission requests submitted to Dispatch.

  • Create and update records ensuring accuracy and validity of information of drivers. (e.g., Driving permits for unit drivers, vehicles, and staff details in UMOJA)

  • Manage phone calls and correspondence (e-mail, letters, packages etc.) for the unit.

  • Maintain files to keep track of important documents and perform data entry as required.

  • Ensure that vehicle maintenance is carried out as scheduled and maintain updated records of vehicle maintenance.

  • To undertake any other tasks as assigned by the Tpt Management

    Education

  • High school diploma or equivalent is required. Vocational training in transport or related subject is an advantage

    Job - Specific Qualification

  • General category valid national driving license is required.

  • Certified safe driving record is desirable

    Work Experience

  • A minimum of three (03) years of progressively responsible experience in transport operations or related areas is required.

  • Experience working in an international organization is desirable.

  • Experience in organizing and executing office work in the UN or similar organization is desirable.

  • Computer Knowledge is required

    Languages

  • English and French are the working languages of the United Nations. For the post advertised, fluency in English is required.
