United Nations Finance and Budget Assistant Jobs in Nairobi


Responsibilities

  • Assist in the collection of data for preparation of cost estimates and budget proposals in terms of staff and non-staff requirements for regular budget and extra-budgetary resources under UNON Administration;
  • Assists with the data extract for and preparation of various reports to management;
  • Assist in monitoring budget implementation and performance;
  • Assists with ensuring that requisitions for goods and services are in line with authorized budgets, the priorities of the organisation and the UN financial rules and regulations;
  • Processing of financial documents in line with the financial rules and regulations;
  • Assist in the review and analysis of various accounting data;
  • Scrutinize supporting documents for completeness, accuracy and validity of requests in line with applicable policies, procedure, rules and regulations;
  • Assists in the analysis of open item managed accounts (OIM) in the ERP system (Umoja) and initiate corrective action;
  • Receive and distribute various documents received in the unit/section
  • Respond to queries and draft correspondence to clients and other stakeholders in a timely and effective manner;
  • Assists in ensuring that accurate and complete accounting and internal control systems are functioning and that all relevant records are maintained;
  • Assist with data extraction and analysis and preparation of regular and ad hoc reports;
  • Perform duties as backup for other team members when required;
  • Supervise junior member of staff and interns;
  • Performs other related duties as required by Section, Unit Chief or Team leaders.

    Qualifications

  • High school diploma or equivalent is required. Additional qualification in finance, administration, project management would be an added advantage. Knowledge of Excel, Access and other analytical tools would be an asset.
  • A minimum of five years of experience in finance, budget or related area is required. Working experience with the Enterprise Resource Planning (ERP) and finance system such as Oracle or Systems, Applications and Products (SAP) and experience with International Public Sector Accounting Standards (IPSAS) is desirable.
  • Knowledge of, and ability to apply financial rules, regulations and procedures in the UN environment;

    United Nations Legal Assistant Jobs in Nairobi

    Responsibilities

  • Independently handles a variety of relatively complex verbal and written inquiries from internal or external parties, including providing detailed information on processes and procedures related to a range of legal activities, instruments, issues, etc.;
  • Drafts responses to routine correspondence, notes, and any other routine communications, as required;
  • Edits and conducts final checks for accuracy of a variety of specialized documentation, legal publications, and related correspondence;
  • Creates, as necessary, and maintains files and databases, including by managing individual case files, maintaining and updating detailed 'docket sheets' and ensuring that all related correspondence and other documentation are appropriately filed, registered and followed-up;
  • Schedules appointments/meetings;
  • Handles, or refers to the Registrar and Legal Officer(s), as appropriate, a variety of verbal and written inquiries from internal and external parties, including providing information on processes and procedures related to the work of the Registry;
  • Conducts basic research on assigned issues, using existing files and alternative sources (e.g., computer-assisted searches using the internet, intranet or other databases);
  • Reviews, records, distributes and/or processes all mail and other documents;
  • Follows up on impending actions and deadlines;
  • Assists in the maintenance of a body of reference files;
  • Generates a variety of standard and non-standard statistical and other reports from various databases;
  • Performs a variety of
    administrative duties including processing travel requests and related documents, preparation of travel claims, request for office supplies and equipment, etc.;
  • Provides guidance and training to less experienced staff;
  • Assists in the archiving of documents;
  • Performs other duties as assigned.

    Qualifications

  • High school diploma or equivalent.
  • A minimum of seven years of experience in administrative services, paralegal/legal work, conference servicing, library work or related area is required.
  • Experience working in the UN, or another comparable international organization, legal field is desirable.
  • Knowledge of organizational legal framework, relevant legal processes, procedures and terminology for review, examination, preparation and processing of legal documents.

    United Nations Security Sargent Jobs in Nairobi

    Responsibilities

    Provide leadership to the Team by;
  • Planning assignments for the team members during particular scheduled shifts
  • Give daily work instructions to the members of the team
  • Ensure team members are provided with uniforms, communications equipment and other kits for duty
  • Monitor posts to ensure that they are effectively manned and that duties are properly executed.
    Enforce safety and security in the UN Complex by
  • Ensuring that security and safety rules and procedures are strictly adhered to
  • Supervise control room duties and ensure that the electronic surveillance equipment is properly monitored and discuss reports of initial investigation with the Investigator.
  • Co-ordinate activities of the team through the Lieutenant and Inspector to the Assistant and Deputy Chiefs of the Security and Safety section by making daily reports on events, periodical reports on all investigated cases, make recommendations on improvement of work.
  • Ensure that security equipment and vehicles are in good working order, supervise operations in the event of accidents independently and in cooperation with other rescue services, such as, the Nairobi City Council Fire Brigade and prepare reports after incidents;
  • Inspect mail and deliveries entering the UN premises; Keep 'bomb alert' plans and instructions up to date, conduct searches for suspicious items. Conduct preventive searches in cooperation with the specialized services;
  • Liaise with the host country's de mining services.
  • Respond to requests for assistance requiring first aid and general questions concerning the security and safety of the UN Complex.
  • Perform other related duties as may be assigned.

    Qualifications

  • High school diploma or equivalent is required.
  • Supplementary post-secondary school training in security or military with a sound and thorough knowledge of security related matters is desirable.
  • Must have passed the United Nations Administrative Support Assessment Test (ASAT) or the Global General Service Test (GGST) at Headquarters or an equivalent locally- administered test at Offices Away from Headquarters.
  • A minimum of five (5) years' of relevant and progressively responsible experience in the National Police Force or Military Service is required.
  • English and French are the working languages of the United Nations Secretariat.
