United Nations Environment Programme Senior Administrative Assistant Jobs in Kenya;The United Nations Environment Programme (UNEP) is the leading global environmental authority that sets the global environmental agenda, promotes coherent implementation of the environmental dimension of sustainable development within the UN system, and serves as an authoritative advocate for the global environment.

This position is located in the Office of the Director, Climate Change Division, Nairobi Duty Station. Under the overall supervision of the Director and direct supervision of the Special Assistant, the incumbent will provide administrative, HR, budget and data management support.

Responsibilities

Human Resources Management

  • Coordinate recruitment, placement, promotion, relocation, performance appraisal, classification reviews, separation and training.

  • Liaise with UNEP Corporate Services Division and UNON HRMS.

  • Maintain vacancy announcement files and track status.

  • Provide advice on classification procedures, conditions of service, entitlements and privileges.

  • Monitor Umoja staffing tables and prepare customized HR reports.

    General Administration
  • Serve as communication link between Director and staff, conveying directives and updates.

  • Manage correspondence logs, routing and follow‑up.

  • Provide advice to General Service staff on office management and procedures.

  • Support Director’s workflow, priorities and confidential documentation.

  • Organize seminars, conferences, translations and oversee office technology needs.

    Data Management
  • Collect and analyze data, prepare presentations and reports.

  • Assist with visualizations and updating information materials.

    Contract Administration
  • Administer contracts with external contractors.

  • Audit invoices, process payments and monitor status.

    Budget & Finance
  • Monitor budget/staff costs, suggest reallocations and implement changes.

  • Assist in
    preparation of medium‑term plan, cost estimates and budget proposals.

  • Review requisitions, monitor extra‑budgetary resources and agreements.

  • Prepare budget performance submissions and reports.

    Education

  • High school diploma or equivalent required.

  • Additional training or certification in Human Resources Management desirable.

    Work Experience

  • Minimum of ten (10) years’ experience in HR and administrative services required.

  • Minimum reduced to eight (8) years for candidates with a first‑level university degree.

  • At least seven (7) years’ experience in recruitment desirable.

  • ERP system experience, specifically post management, desirable.

  • Minimum one (1) year experience in data analytics desirable.

    Languages

  • English required.

  • French desirable.
