United Nations Environment Programme Administrative Assistant Jobs in Kenya;The position is located in the Industry Innovation Branch of the Industry and Economy Division in the Nairobi Duty Station. Under the direct supervision of the Administrative Officer, the incumbent will be responsible for the following functions.

Responsibilities – Budget and Finance

  • Assist in preparation and review of financial and human resource proposals/requirements.

  • Monitor expenditures and compare with approved budget; prepare adjustments as necessary.

  • Assist managers in elaboration of resource requirements for budget submissions.

  • Coordinate with finance and budget staff during preparation of budget reports.

  • Prepare or customize financial reports from ERP system.

    Contract Administration
  • Assist with day‑to‑day administration of contracts with external contractors and implementing partners.

  • Follow up on invoices against goods/services provided and approved.

  • Process contractor payments and monitor status.

  • Prepare and process UN forms and permissions for contracts.

  • Support issuance of calls for proposals or expressions of interest.

    Monitoring and Reporting
  • Support monitoring and reporting on Programme/project implementation and results.

  • Assist in analyzing and visualizing project data, including mapping project presence.

  • Support alignment of Programme/project with UNEP’s Medium‑Term Strategy and Programmes of Work.

  • Review draft project proposals for consistency with UNEP strategies.

    Travel and Meeting Support
  • Coordinate staff travel for UN meetings.

  • Calculate entitlements and process travel steps in financial system.

  • Provide advice on meeting organization requirements.

  • Maintain travel authorization records and assist with reporting.

    Human Resources Management and General Administration
  • Initiate, review, process and follow up on HR actions (recruitment, placement, promotion, relocation, performance appraisal, classification, separation, training).

  • Oversee vacancy announcement files and track status.

  • Draft reports and routine correspondence.

  • Coordinate extensively with service units and liaise with team members.

  • Assist with data collection, analysis, presentations, reports, and updating information materials.

  • Perform other duties
    as assigned.

    Competencies
  • Professionalism: Broad administrative skills, knowledge of UN rules, ERP systems, MS Word/Excel, ability to produce high‑quality work under pressure, judgment in handling sensitive matters, and commitment to gender equality.

  • Teamwork: Collaborative, values input, supports group decisions, shares credit.

  • Planning and Organizing: Clear goals, priority setting, resource allocation, risk management, monitoring and adjustment.

    Education
  • High school diploma or equivalent required.

  • Additional technical training in accounting, finance, or business administration required.

    Work Experience
  • Minimum 7 years progressively responsible experience in programme/project administration, operations, or technical cooperation in developing countries required.

  • Minimum years reduced to 5 for candidates with a first‑level university degree.

  • Experience in analytical and writing skills for memos, letters, briefings and reporting required.

  • Experience with ERP systems required.

  • Experience in finance and budget required.

  • Experience in project management, procurement, and contract management required.

  • Experience with UN rules/regulations or similar international organization desirable.

  • Minimum 1 year of experience in data analytics desirable.

    Languages
  • English required.

  • French desirable.
