Org. Setting and Reporting

  • The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the representative office of the Secretary-General. UNON supports programme implementation of the United Nations Environment Programme (UNEP) and the United Nations Human Settlements Programme (UN-Habitat) and the Resident Coordinator System (RCS) globally, as well as other UN offices in Kenya, by providing administrative, conference and information services (www.unon.org).

  • The post is located in the Spanish Translation and Text Processing Unit, Translation and Editorial Section, Division of Conference Services (DCS), United Nations Office at Nairobi, UNON.

    Responsibilities

  • Within delegated authority and reporting to the Chief of Unit, the Editorial and Desktop Publishing Assistant will be responsible for the following duties:

    • Organizes, plans, controls and co-ordinates work with respect to the production of camera ready documents for reproduction and storage of final text.

    • Distributes assignments so as to ensure efficient and effective processing of documentation and an equitable distribution of work. Updates electronic tracking system accordingly.

    • Assures smooth continuity of work and gives special instructions as needed.

    • Registers incoming/outgoing documents in order to control flow of work in and out of unit.

    • Maintains statistics. Performs administrative work, as needed.

    • Trains and guides junior support staff.

    • Performs supervisory functions of the text processing unit. Rotates in day and night shifts, as well as weekend on-call duties, as needed.

    • Aligns bi-texts in order to support the production of high-quality translation memories for computer-assisted translation (CAT), machine translation (MT) and related workflow improvements.

    • Completes e-Performance evaluations for supervised staff member as First Reporting Officer.

    • Performs other related work as required.

    Education

  • Completion of high school diploma or equivalent is required. Additional formal training in desktop publishing or a related field is desirable.

    Work Experience

  • A minimum of seven (7) years of experience in desktop publishing, including draft typing, copy editing, formatting, proofreading and creating typographical layouts, is required.

  • Experience in screening and registering documentation submitted for processing in an international organization such as the United Nations is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in Spanish which must be the candidate's main language is required. Knowledge of English is required. Knowledge of another official United Nations language is desirable

  • NOTE: "fluency equals a rating of "fluent" in all four areas (read, write, speak, understand) and " Knowledge of" equals a rating of " confident" in two of the four areas.
