Organizational Setting and Work Relationships

The Reporting Assistant will fulfil internal and external reporting requests. S/he is supervised by the Reporting Officer or another professional or higher level local staff depending on the staffing structure of the Office.

The incumbent is expected to have contacts within the organization and outside the duty station, as well as with partners and other stakeholders to collect information and monitor programme activities.

All UNHCR staff members are accountable to perform their duties as reflected in their job description. They do so within their delegated authorities, in line with the regulatory framework of UNHCR which includes the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions as well as relevant accountability frameworks.

In addition, staff members are required to discharge their responsibilities in a manner consistent with the core, functional, cross-functional and managerial competencies and UNHCR¿s core values of professionalism, integrity and respect for diversity.

Duties

  • Stay abreast with the operational developments and assist in the preparation of briefing notes and reports.

  • Assist in consolidation of data and facilitate the preparation of periodic reports including Sitreps, Fact Sheets and other activity specific reports.

  • Update regularly the relevant information tracking system(s).

  • Provide administrative assistance and support in routine services and activities within the unit

  • Liaise with internal and external partners to gather information.

  • Work closely with Information Management Unit to ensure accurate and standard
    data presentation.

  • Prepare and distribute meeting minutes.

  • Consolidate and provide inputs for donor reports.

  • Perform other duties as required.

    Minimum Qualifications

    Education & Professional Work Experience

  • For G4 - 1 year relevant experience with High School Diploma; or Bachelor or equivalent or higher

    Relevant Job Experience

    Essential

  • Computer skills (in MS office) including advanced Excel skills (pivot tables, data management, etc)

    Desirable

  • Training relevant to function of the position including Programme Management ¿ Level 1.

    Functional Skills

  • IT-Computer Literacy

  • DM-Data Management

  • PG-Programme Analysis

    Language Requirements

  • For International Professional and Field Service jobs: Knowledge of English and UN working language of the duty station if not English.

  • For National Professional jobs: Knowledge of English and UN working language of the duty station if not English and local language.

  • For General Service jobs: Knowledge of English and/or UN working language of the duty station if not English.
