Org. Setting and Reporting

The United Nations Office at Nairobi (UNON) is the UN headquarters in Africa and the Director-General of UNON is the representative of the Secretary-General in Kenya.

UNON supports programme implementation of the United Nations Environment Programme (UNEP), the United Nations Human Settlements Programme (UN-Habitat) and the Resident Coordination System (RCS) globally, as well as other UN offices in Kenya, by providing administrative, security, conference and information services (www.unon.org).

The post is the Translation and Editorial Section (TES) in the Division of Conference Services (DCS) of UNON. Under the supervision of the Chief of Section, Language Services and within delegated authority, the incumbent will be responsible for the following duties:

Responsibilities

• Reviews and evaluates all jobs submitted by Documents Control for pre-translation referencing, determining relative complexity and priority.

• Makes reference assignments to individual staff, taking into consideration productivity, precision, skill, experience, deadlines and availability of staff.

• Provides guidance to reference staff as required, identifying and indicating possible sources and locations for supportive material requested.

• On behalf of the translators, contacts submitting officials for source clarifications and additional documentation as required.

• In consultation with Documents Control, plans and oversees reference scheduling to ensure compliance with established deadlines.

• On behalf of the Chief, negotiates with Documents Control, the programming officers of the translation services and the contractual translation unit, the re-scheduling of the reference deadlines when necessary.

• Alerts the Chief of Section to the need for a re-allocation of the staffing resources to ensure that referencing priorities and responsibilities are met.

• Accompanies the Chief of Section at weekly documentation meetings to evaluate status regarding work programming or policy matters to adjust job priorities.

• Works with the Chief of Section in order to develop work strategies.

• Contributes to the definition of individual goals and the yearly performance evaluation of assigned staff and the Chief of Section.

Excellent grasp of terminological and reference research techniques; ability to use all documentary and information sources and perform complex research tasks; high level
of versatility, judgement and discretion. Collects and analyzes data to identify trends or patterns and provide insights through graphs, charts, tables and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting.

Teamwork:

Ability to establish and maintain effective working relations with people of different national, linguistic and cultural backgrounds with sensitivity and respect for diversity. Willingness to solicit inputs and learn from others, to place team agenda before personal agenda. Willingness to share credit for team accomplishments and joint responsibility for team shortcomings.

Planning & Organizing:

Develops clear goals that are consistent with agreed strategies; identifies priority activities and assignments; adjusts priorities as required; allocates appropriate amount of time and resources for completing work; foresees risks and allows for contingencies when planning; monitors and adjusts plans and actions as necessary; uses time efficiently.

Education

  • A first-level degree from a university or institution of equivalent status is required. Having passed the United Nations competitive Examinations for Associate documentation officer or Language Competitive Examinations in any of the official languages is desirable.

    Work Experience

  • A minimum of two (2) years experience in reference and terminology management, documents management or editorial and translation services within the United Nations or similar international multilingual setting is required.

  • Two (2) years or more of experience in data analytics or related area is desirable.

    Languages

  • English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is desirable.
