The WFP Regional Bureau for Eastern Africa (RBN) is based in Nairobi and provides strategic direction, technical guidance, resource mobilization, and management support to WFP operations and activities in ten countries: Burundi, Djibouti, Eritrea, Ethiopia, Kenya, Rwanda, Somalia, Sudan, South Sudan, and Uganda.

Job Purpose

To provide effective coordination, technical guidance, and specialized support on Knowledge Management (KM) to the regional bureau and its country offices.

The job holder is expected to lead the knowledge management workstream in the Regional Bureau Nairobi (RBN) and operate with a high degree of collaboration and engagement with various teams, be involved in strategic planning and analytical work to improve knowledge management in the region.

This position sits in the Programme Cycle Management unit and reports to the Head of Unit.

Key Accountabilities (not all-inclusive)

Design, develop, and coordinate activities to strengthen knowledge management and sharing

  • In line with the existing KM strategy and framework, set guidelines on creating and producing knowledge (e.g., institutional practices, defining lessons learned).

  • Support the development of staff capabilities on KM including training users and contributors, and establishing guidelines for content creation.

  • Liaise with and support other KM resources, including maintaining a roster of KM topic focal points and CO and regional Information Knowledge Management Focal Points (IKMFPs).

  • Liaise with other regional and corporate KM colleagues to support the development and improvement of effective digital solutions for corporate knowledge management (such as platforms and repositories).

    Work with WFP’s leadership on continually embedding a culture of learning and actively encouraging sharing across regions and topics

  • Work closely with senior management at RB and COs to actively promote KM, encouraging their Unit Heads to incorporate KM in their annual work plans.

  • Support leadership in participating in knowledge management engagement sessions and incentivizing knowledge sharing in their offices.

    Collaborate with stakeholders to advance knowledge management initiatives:

  • Support RB units to embed KM within their annual work plan and promote good KM practices within their CO functions.

  • Embed knowledge management in various job responsibilities across the region.

  • Support RBN country offices adopt the Regional KM strategy Implementation Plan.

  • Develop standardized onboarding and offboarding process, in conjunction with HR

    Guide WFP’s contribution to external knowledge and oversee WFP’s role in sharing knowledge externally

  • Actively participate in the African Knowledge Management Hub.

  • Work with RB units to promote and disseminate knowledge for advocacy and positioning.

    Support knowledge management content creation and sharing:

  • Help the RB and CO to implement and use the regional knowledge management tool kit, collection of template documents for process-standardization and best practice creation and sharing.

  • Implement activities to capture and share knowledge, leverage good practices, and improve the effectiveness of knowledge sharing across the
    organization.

  • Identify knowledge management opportunities; coordinate content and information gathering, creation and distribution.

  • Guide regional and CO focal points to collate, analyze and communicate the knowledge management output in order to facilitate access to timely and accurate innovation information used within WFP and others externally.

  • Prepare applicable input, talking points, briefings, presentations and reports for management, inter-agency opportunities, and donor related activities.

    Qualifications & Experience Required

    Education:

  • Advanced University degree with course work in Information Science, Knowledge Management, Project Management, Communication, International Relations, Development, Government, or other related fields, or First University degree with additional years of related work experience and/or training/courses.

    Experience:

  • A minimum of three (3) years of post-graduate professional experience in knowledge management or related field is required.

  • Six (6) years of progressively responsible national and/or international experience in knowledge management, partnerships, communications, reporting and/or business-related positions.

  • Experience working in the international development/humanitarian sectors an advantage.

  • Ability to work in a team and establish effective working relations with persons of different national and cultural backgrounds.

  • High capacity for organization and coordination, as well as an ability to work with a high degree of collaboration with various type of teams.

  • Experience influencing and driving corporate change initiatives.

  • At least five years supervising staff, delegating, and coordinating work, and ensuring high-quality, timely outputs.

    Knowledge & Skills:

  • Experience in relationship management within a global organization

  • Strong communication skills and experience with managing and engaging with various stakeholder across organizations.

  • Strong digital skills with experience in information/file management, communities of practice and other dissemination platforms.

  • Ability to produce high-quality written materials, including graphically based presentations, reports and reference materials.

  • Ability to interact with leaders and external audiences with maturity and tact.

  • Collaborative spirit; able to liaise with a wide range of people at all levels and across different cultures and to act with credibility and diplomacy.

  • Strong time management skills with an ability to plan, anticipate requirements, problems and obstacles, and an ability to juggle competing priorities successfully, and to work to tight deadlines.

  • Excellent problem-solver, follow-through skills and sense of accountability and process ownership.

  • Self-motivated and able to work with a high degree of autonomy.

  • Able to supervise and manage more junior staff, appropriately delegating tasks and ensuring high-quality, timely deliverables.

    Language:

  • Fluency in oral and written English mandatory.
    Intermediate knowledge of another official UN language (Arabic, Chinese, French, Russian and Spanish) or Portuguese (one of WFP’s working languages) is a plus – French is preferred.
