Introduction

Responsibilities

  • Manages Implementing Partners reports i.e. CPDR for General Food Distribution, Cash transfers, Nutrition programmes, etc., in collaboration with Government (OPM), UNHCR, Samaritan’s Purse and other partners in the settlement and transit centers.
  • Updates the Mbarara Field Office Food Release Note (FRN) for General Food Distribution, MCHN, SFP are created in the WFP database (COMET) by the 15th of every month to ensure timely food call forward;
  • Regularly captures General Food Distribution, CBT, MCHN, SFP monthly CPDR into the WFP Database (COMET) for timely clearance or validation by the Head of Field Office or any other delegated authority;
  • Captures General Food Distribution report (DDR), MCHN and SFP monthly progress reports into the WFP ProMIS database ready for clearance by the
  • Head of Field Office or or any other delegated authority;
  • Monitors and reviews overall commodity movement such as food release, deliveries, returns and distribution at the various settlement FDPs and ensure that all transactions have been properly recorded:
  • Timely updates the GFD and CBT distribution schedules as well as the beneficiary trends at the end of every cycle;
  • Reports any relevant events regarding food management, distribution statistical anomalies and other related issues noted during data capturing and analysis;
  • Trains cooperating partner staffs in data capturing using the WFP recommended reporting systems;
  • Maintains population statistics for refugees in formats agreed by Field Office and update the Programme Management Information System (ProMIS) and COMET on a regular basis;
  • Updates documentation and keep good records of the Mbarara Head of Field for audit and reference points;
  • Submits weekly, monthly and refugee statically updates for the area of operation particularly for southwest region;

    Qualifications

  • Bachelor’s degree in Statistics, Nutrition, Agriculture, Commerce, ICT related or any other related field;
  • Experience: At least three a year of relevant working experience in either of the following fields, agriculture production, relief, humanitarian intervention, statistics, social administration, refugee operations and community mobilization;
  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word;
  • Good knowledge and skills using data management packages;
  • Uses tact and courtesy to give and receive information to a wide range of individuals;
  • Ability to identify data discrepancies and rectify problems requiring attention;

    UN World Food Programme Human Resources Business Partner Assistant Jobs in Uganda

    Responsibilities

  • Provide administrative support and guidance on HR related matters at the Area /Field Office level in line with HR policies and procedures
  • Co-ordinates and rolls-out internal communication messages
  • Supports the HRBP team in preparing and providing accurate information, collating & analysing data and producing clear, insightful and meaningful report
  • Provides accurate and timely information, data and advice to area/field management and employees on the organization’s human resources policies and procedures
  • Supports the development and implementation of HR solutions by understanding how the organization works
  • Monitors and follow-up completion of HR processes and documents within the area of jurisdiction;
  • Establishes a leave plan,
    support implementation of the plan, share necessary forms to be completed, brief staff on their entitlements, in line with the contract terms and conditions and enter data in WINGS and send documents to the HR CO;
  • Coordinates provision of psycho-social support to colleagues and family members within the area of operation;
  • Ensure Service Contract Evaluation (SCE) Forms are completed before end of contract;

    Qualifications

  • A University degree in either Human Resources, Business Administration, Social Sciences, or any other related fields, obtained from a recognized university.
  • At least five (5) years working experience in either, human resources operations work, or any other related field, acquired from a reputable organization.
  • Good command of oral and written English is essential.
  • Knowledge HR Business Partnering and administrative work practices and methods, gained through relevant technical training and experience;
  • Good communication skills and basic understanding of HR principles and their application in order to respond to and resolve general HR queries;

    UN World Food Programme Budget & Programming Officer Jobs in Uganda

    Responsibilities

  • Contributes towards the development of plans, processes and procedures ensuring compliance with wider budget programming policies and WFP standards.
  • Creates and review project budget plans and monitor ongoing project performance against budget, ensuring adherence to guidance and policies, and providing financial analysis and advice to optimise resources
  • Monitors and provide advice on fund utilisation, and advance financing, loan and borrowing/repayment and refinancing arrangements; alerting Country/Regional Directors to approaching deadlines for unassigned funds and potential resource shortfalls/surpluses, and proposing appropriate solutions.
  • Monitors and provides advice on actions related to project closure and resource transfer.
  • Monitors the resource pipeline to maximise operational effectiveness, following standards and processes, and providing advice on resource allocations based on severity of pipeline shortfalls using relevant pipeline tools.
  • Supports the preparation of food-demand plans to support management and usage of corporate Global Commodity Financial Facility and provide information to guide RB/HQ decision-making when multiple projects compete for the same stock.
  • Creates and reviews budget and project documentation, and ensure relevant resource data is recorded in internal systems for reference, in line with WFP standards and procedures.
  • Collates and analyses data for the preparation of accurate and timely reports, to enable informed decision-making and consistency of information presented to senior management and external stakeholders.
  • Proactively contributes ideas to senior officers for improvement to systems, techniques, tools, processes and procedures to better monitor and manage budgets and funds
  • Supports the capacity building of WFP staff in budgeting, fund management and operational planning through answering queries and updating training materials, manuals and guidelines.
  • Guides and supervises more junior staff, acting as a point of referral and supporting them with more complex analysis and queries.
  • Follows standard emergency preparedness practices and contribute to technical recommendations and guidance and monitoring the management of financial risks.

    Qualifications

  • Advanced University degree in Business Administration, Finance, Economics or other relevant field, or First University degree with additional years of related work experience and/or training/courses.
  • Fluency (level C) in English language and the duty station’s language, if different.
