  • The WFP Regional Bureau for Eastern Africa (RBN) is based in Nairobi and provides strategic direction, technical guidance, resource mobilization, and management support to WFP operations and activities in ten countries: Burundi, Djibouti, Eritrea, Ethiopia, Kenya, Rwanda, Somalia, Sudan, South Sudan, and Uganda.

    Organizational Context

  • This role is found in Regional Bureaux (RBN) and the Job holder will report to the Regional IT Management or the designate and work under the functional supervision of Information Technology (IT) and service delivery management.

    Job Purpose

  • The IT Asset focal point is accountable and responsible for implementing the Service IT Asset & Configuration Management policy and processes ensuring integration with the other IT Service Management processes such as Incident, Problem, Change, and Release Management.

  • This role will enable IT management to exercise control of IT configuration items and IT Assets ensuring that up-to-date and verified information on the status of service IT Assets and IT infrastructure are made available to other IT service management processes.

  • In addition, this role working in partnership with IT Service Operations defines and develops the organization’s IT Configuration Plan including setting up an automated Configuration Management Database, IT Asset database, and associated processes and controls.

    Key Accountabilities

  • Receive and record (if authorized to do it) Technology Unit (TEC) items in the SAP system after physical inspection and labeling of assets.

  • Identify broken and obsolete TEC items available for disposal or repair.

  • Assign and receive (For example, reassignment, separation, completion of the loan period) TEC assets from WFP employees and update records in GEMS.

  • To perform important daily actions to track, monitor, and safeguard TEC assets.

  • Participate in the Physical Count and support the
    LPE during the reconciliation process.

  • Provide input to the LPE regarding (Property Survey Board (PSB)meeting preparations.

  • Assist in the implementation of PSB recommendations.

  • Proactively flag TEC issues to the LPE and/or management.

  • Keep TEC asset records in GEMS updated (For example, Location, Assignee, User Status, or other relevant information).

  • Liaising with vendors on the timely repair of IT Assets.

  • Provide support during installation and decommissioning of IT assets.

    Deliverables at the End of the Contract

  • IT assets at WFP RBN are accounted for (Total count of assets, Where the assets are, the value of each asset., active and expired warranties, when the assets were acquired and the expected life cycle of IT assets.

  • Help guarantee accuracy of IT assets records.

  • Identification of any risk items which might affect the management of IT assets.

  • On-going direct support to WFP asset operations as required across the RBN region.

    Standard Minimum Qualifications

    Education:

  • Degree/Diploma in business information systems, computer science, telecommunications engineering or social sciences, or relevant work experience. Training and knowledge of business analysis methodologies would be an asset.

    Experience:

  • At least 2 years in an IT environment with progressively responsible professional experience in IT Asset management/ support / System support / Application support in humanitarian aid operations.

    Knowledge & Skills:

  • In-depth knowledge of IT asset management, installation, support, and disposal procedures.

  • Experience in business analysis troubleshooting procedures, such as diagnosis and rectification of errors.

  • Customer-oriented oral and written communication skills.

    Languages:

  • Proficiency in English is required. Knowledge of another UN official language is desirable.
