Background and Purpose of the Assignment


The United Nations World Food Programme (WFP) is the world’s largest humanitarian agency, fighting hunger worldwide.

WFP Rwanda works in partnership with the Government and other stakeholders through the direct implementation of integrated programmes targeting the most vulnerable people and will progressively shift towards building national capacity to formulate, manage and implement programmes for achieving zero hunger.

In implementing its activities, WFP will bridge the humanitarian-development nexus and leverage its extensive experience and the contributions it has made in Rwanda over many decades to achieve five strategic outcomes:

  • Refugees and returnees in Rwanda always have access to adequate and nutritious food. o Vulnerable populations in food-insecure communities and areas have improved access to adequate and nutritious food all year.

  • Children under 5, adolescents and pregnant and nursing women and girls in Rwanda have improved access to nutritious foods and services that enable them to meet their nutrition needs all year.

  • Smallholder farmers, especially women, have increased marketable surplus and access to agricultural markets through efficient supply chains by 2030.

  • The Government of Rwanda and the humanitarian community are provided with adequate, timely, cost-efficient, and agile supply chain services and expertise necessary to effectively respond to the emergency crisis.

    WFP is always looking for talented, motivated, and enthusiastic students. An internship at WFP is a great opportunity to acquire practical work experience while contributing to the goal of reaching Zero Hunger. WFP has secured funding for 20 interns who will be placed in various functional areas in Kigali and the field offices over a period of 2 years.

    The internship programme will be for a period of 6 months with a possible extension. This programme is in line with our strategic goal of building WFP’s talent pipeline, enhancing our Employer Brand and building Gender Balance.

    The programme endeavours to give Rwandan students and graduates opportunities in the humanitarian sector and is also a step forward in boosting our talent pipeline in our various functional areas.

    The internship will receive an on-the job training then assist in the completion of a range of processes and activities requiring some interpretation of standard guidelines/practices for all assistance modalities. At a later stage, the intern should be able to recommend a course of action to staff at various levels and may allocate tasks to other support staff.

    Key Accountabilities (not all-inclusive)

    This position is under Supply Chain Management and will support to:

  • Provide specialized support to logistics operations and activities, following standard processes and contributing, directly or indirectly, to the effective delivery of food assistance to beneficiaries.

  • Coordinate requisitioning and ensure timely delivery of commodities and supplies to authorised partners and destinations.

  • Manage logistics ‘vendors’ contracting activities including performance monitoring and measurement.

  • Support gathering market intelligence, vendor assessments (e.g. transporters, retailers) to support vendor selection process.

  • Identify, resolve and/or provide recommendations on specialised queries/requests for support, using initiative and following standard processes, to ensure timely and accurate resolution of enquiries with excellent client service mind-set.

  • Prepare, monitor, and revise budget for all delivery modalities, ensuring adherence to relevant procedures and in compliance with corporate standards.

  • Monitor inventory management processes to track trends and account for the inventory status from source to beneficiary.

  • Support oversight for commodity accounting data quality and integrity.

  • Analyse operational pipeline and contribute to assessments and operational planning for all delivery modalities, to ensure that supply chain requirements are taken into consideration.

  • Manage documentation processing for execution of logistics operations (e.g. customs clearance, invoice verification), take appropriate actions to resolve operational issues escalating complex issues to the supervisor.

  • Perform research, collect data and conduct analysis, produce reports (e.g. CCTI, SPRs, financial closure, physical inventory, transport performance) and ensure information accuracy in corporate systems to enable informed decision-making.

  • Liaise with internal and external stakeholders to support logistics operations management and contribute to effective service delivery.

  • Support the work of other staffs to ensure individual and team objectives are delivered to agreed standards and deadlines for all assistance modalities.

  • Support logistics emergency preparedness and response activities including Logistics Capacity Assessment and Contingency Plan update, to support WFP’s response in emergencies.

    Reporting:

    The Resources management intern will work under the supervision of supervision of the Logistics Officer in charge of Resources Management.

    Standard Minimum Qualifications

    Education:

  • Fresh graduate, Minimum of a University degree in logistics, procurement, business administration, finance, or accounting. A master’s degree in will be an added advantage.

    Experience:

    Not a mandatory requirement, but internship in similar capacities would be a plus

    Knowledge &Skills:

  • Good knowledge in IT (Microsoft Suite) and SAP (ERP)

  • Excellent communication (written and oral) skills

  • Strong analytical, collaboration, and coordination skills.

  • Knowledge in budget monitoring and reporting

    Languages:

  • Fluency in English. Knowledge of Kinyarwanda is an asset.
