    Job Purpose:

    To deliver standard business support processes for a specific professional area of work, to facilitate effective service delivery.

    Key Accountabilities

    Finance:

  • Monitor and record all expenses in line with the approved budget to ensure that correct expenditure costs are charged and payments to external suppliers, cash grants and other supplier invoices are processed in a timely manner.
  • Monitor the sub-impress bank and petty cash accounts regularly, to ensure that adequate funds are available and appropriately disbursed.
  • Verify vendor claims, advances and other receivables and observe appropriate procurement procedures, to ensure that suppliers are paid in a timely manner and in conformance with WFP finance rules and regulations.

    Administration:

  • Manage and maintain records and databases, to ensure information is organized and readily available for staff.
  • Collate information for inclusion in reports, documents and correspondence, to support the effective work of other staff.
  • Process and manage routine administrative tasks in various functional areas,
  • Ensure the effective and timely management of material and administrative resources (Assets, vehicles, fuel)
  • Perform administrative duties related to the monitoring and recording of fixed assets, spend on fuel and spare parts for vehicles and generators, to ensure that the databases are accurately updated.

    Human Resources:

  • Provide assistance on general HR queries and follow up actions, to ensure consistent and high-quality HR services are delivered to clients.
  • Support HR staff in the country office on administrative actions
    including preparation of basic reports, to facilitate efficient HR service
  • Any other duties requested by the supervisor

    Knowledge and skills:
  • Proficient in the use of office equipment and computer software packages, such as Microsoft Word.
  • Knowledge of work routines and methods to complete processes under minimal supervision.
  • Uses tact and courtesy to give and receive information to a wide range of individuals.
  • Ability to identify data discrepancies and rectify problems requiring attention.
  • Ability to offer guidance or basic on-the-job training to more junior staff.

    Educational Requirements:
  • GCE Advanced Level or “Baccalaureat”
  • A Bachelor’s degree in Business Administration, Communication, Secretarial Technology, Tourism Industry, law or another relevant field will be an asset.

    Working Languages:
  • Fluency (level C) in English and good working knowledge of French.
  • Good understanding of local language Pidgin is desirable.

    Essential Experience:

    At least three (3) years of relevant professional experience in general administration, office management, communication, Project Management, finance and accounting.
