Responsibilities

  • Provide a set of standard business support activities, where required, to contribute to the effective functioning of business operations.
  • Create a good, friendly and warm comfortable ambience at the main reception and attend to visitors to guide them accordingly.
  • Timely response to calls and operation of switch board in a professional manner.
  • Contribute to the improvement of staff wellness programmes and provide support to ensure a safe and comfortable working environment.
  • Provide guidance to and follow up with service providers/contractors to ensure that the goods and services acquired are accurate, meet expectations and bring good value for money.
  • Undertake standard data entry tasks in accordance with defined systems, to ensure information is organized and readily available
    for the business team.
  • Collate and process information including dissemination to support the production of standard documents and reports for the unit, to enable decision-making and the effective management of resources.
  • Support the maintenance of office files, documents, and records in accordance with established systems and processes so that information is current and readily available for staff.
  • Respond to routine queries received and escalate where appropriate, to provide a timely and accurate service to clients.
  • Any other tasks as assigned by the supervisor

    Requirements

  • Possession of a University degree.
  • At least three years of experience in general administrative work in a busy environment.
  • Ability to use standard office equipment such as photocopiers and scanners.
  • Knowledge of standardized business support work routines and methods.
  • Knowledge of standard office software packages, e.g. Microsoft word, Excel, Powerpoint.
  • Ability to use tact and courtesy to give and receive information with a variety of individuals.
  • Good attention to detail in order to identify data discrepancies.
  • Ability to work to deadlines and follow clear instructions.
