Key Functions & Accountabilities

Provide reliable and secure driving services

  • Drive office vehicles for transport of Regional Director, officials, visitors and staff.

  • Deliver and collect mail, documents and items to government offices, embassies, UN offices.

  • Meet personnel and visitors at airport, assist with visa/customs formalities.

  • Ensure passengers wear seatbelts; follow accident procedures.

  • Adhere to UN Women vehicle management policy and security standards.

    Ensure proper use of vehicles

  • Record odometer readings, trip details and passenger names in logbook.

  • Record fuel purchases with receipts; submit weekly logs.

  • Report discrepancies in mileage/fuel records.

  • Maintain vehicle service records; obtain supervisor approval for repairs.

  • Submit monthly utilization reports on mileage, fuel and maintenance.

  • Drive responsibly to minimize fuel consumption.

  • Oversee compliance by other drivers.

    Day‑to‑day maintenance of vehicle

  • Conduct routine checks (oil, tires, brakes, water, lights, etc.).

  • Arrange minor/major repairs through procurement process.

  • Conduct pre‑trip and post‑trip inspections; report defects promptly.

  • Keep vehicles clean and presentable.

    Maintain required documents/supplies

  • Ensure insurance, logs, office directory, maps, first aid kit and spare parts are available.

  • Keep registration, insurance and inspection certificates current; flag renewals.

  • Follow accident procedures.

    Provide administrative/logistic support

  • Assist with protocol arrangements and document delivery.

  • Support official visits through logistical coordination.

  • Prepare routine protocol correspondence and Note Verbales.

  • Support procurement e‑requisitions.

  • Manage external storage facility records.

  • Support submission/collection of documents for visas, IDs, licenses, vehicle registration and disposal.

  • Excellent driving skills and knowledge of rules, protocol and local roads.

  • Strong defensive driving skills.

  • Minor vehicle repair skills.

  • Basic computer literacy (MS Word, Excel, email).

    Recruitment Qualifications

    Education & Certification

  • Completion of secondary education required.

  • Valid driver’s license required.

  • Defensive driving certification an asset.

    Experience

  • Minimum 3 years’ experience as driver in international organization, embassy or UN system with safe record.

  • Experience in administrative support services desirable.

  • Demonstrated experience maintaining accurate vehicle/fuel logs required.

  • Experience with government partners desirable.

  • Experience using office software required.

    Languages

  • Fluency in English required.

  • Fluency in Swahili required.

  • Knowledge of another UN language desirable.
