TradeMark East Africa Human Resources Assistant Jobs in Kenya

The HR Assistant will be responsible for providing essential administrative support to the Human Resources unit in all HR functions including but not limited to: recruitment, onboarding of new staff, employee services,

records management and compliance.


Roles and responsibilities


  • Maintain active and inactive staff files and databases.
  • Maintain records related to grievances, performance reviews, compliance and disciplinary actions.
  • Perform file audits to ensure that all required employee documentation is collected and maintained.
  • Update and maintain employee benefits, employment status, and similar records.
  • Provide administrative support in preparing work permits documentation and following up on staff benefits including medical cover, group life/group personal accident and gratuity schemes.
  • Enrol new staff to TMEA benefit schemes.
  • Process staff medical, Group life, WIBA & personal accident claims.
  • Process invoices from HR service providers
  • Maintain the Human Resource Information Systems records and compiling reports from database as directed.
  • Assist with recruitment process including booking interview venues and providing logistical support to interview candidates and panellists.
  • Assist with on-boarding of new staff including ensuring that work station, laptop and other equipment are ready for the new employee on their reporting day.
  • Assist in new employee orientation and coordinate the completion of required employment forms for new staff.
  • Organise and coordinate staff events such as farewell and birthday celebrations
  • Respond to HR related queries/ concerns from staff.
  • Assist in the separation process by ensuring all paperwork are completed.
  • Take minutes during HR meetings.

  • Demonstrate prudence, sound judgement and appropriate and timely escalations in management of all types of risk (including fraud risk) applicable to my role.
  • Understand and comply with the relevant end-to-end processes including applicable risks and controls.
  • Seek to identify, understand and
    escalate risk events/incidents/ issues on a timely basis focusing on fixing root-causes and taking ownership of identified mitigating actions.
  • Complete all relevant mandatory trainings within the stipulated timelines.
  • Participate in regular informal and formal reflection, knowledge sharing and learning events.
  • Document lessons learned and best practices for knowledge sharing and learning.
  • Promote and adhere to TMEA’s core values and ensure compliance with organisational policies and procedures.


    Qualifications

  • Diploma in Human Resource Management, Business Management or Social Sciences; OR
  • Secondary School Certificate.
    Work experience
  • Diploma holders will have at least 2 years’ of relevant working experience while O Level Certificate holders will require at least 5 years’ of relevant working experience.
  • At least two years’ experience of working in Human Resources, Administration or related function.
