TISA Kenya Assistant Human Resources & Administration Officer Jobs

The Assistant Human Resources & Administration Officer will assist in all human resource assignments and office
administration.


The Assistant Human Resources & Administration Officer shall be the central person for all Human Resources & Administration related communication for TISA.


He/She will handle employee grievances formally and informally, forward them to concerned department and follow up for resolution.


He/She will play the role of Employee champion by knowing and counseling them as and when required.


Duties and Responsibilities


Recruitment

  • Contribute actively in planning the recruitment cycle and facilitate the entire process.
  • Maintain the personal files of the new recruits.


    On boarding and Induction


  • Ensure compliance with local labor law regulations on all staff matters and review the Human Resource policy to ensure it complies.
  • Responsible for planning and ensuring systematic induction and training for all new employees.
  • Facilitate in training/induction of new employees.


    Attendance and Leave management


  • Ensure that the attendance logs are accurate.
  • Track leave database, eligibility, and closing balances and ensure that staff proceed for their annual leave when due.
  • Provide periodic reports on monthly bases or on demand to the director.


    Performance Management


  • Track Probation reviews with timelines and ensure outcomes are communicated formally through letters.
  • Communicate, facilitate and participate in the process of annual appraisals, receive, verify the forms and share the consolidated outcome in specified formats.
  • Ensure that contract renewals or termination are done in a timely manner.

    Data Management & Support

  • Provide support to the Finance and Administration officer on all other Human Resource matters.
  • Maintain the
    Human Resource files
  • Prepare, manage and maintain consultant contracts and job descriptions.

    Administration

  • Oversee the Administration function, ensuring that it meets good practices in office management, asset and inventory management, and procurement standards.
  • Ensure that procurement, logistics and administration standards are met, ensuring that policies and procedures are adhered to.
  • Ensure that health and safety standards are met to ensure staff wellbeing as well mitigate legal implications.

    Educational and Qualities Required


  • Degree or Higher Diploma in Human Resource Management is a MUST
  • Should be registered with Human Resource Body


    Required Competencies


  • Proven experience as a Human Resources assistant, staff assistant or relevant human
    resources/administrative position
  • PC literacy (MS Office, in particular) with good typing speed
  • Excellent, warm, but firm and assertive
  • Hands on experience with an Human Resources Information System (HRIS) or Human resource
    management system (HRMS)
  • Basic knowledge of labor laws
  • Excellent organizational skills and Strong communications skills

    Knowledge Required


  • Minimum 2-3 years of experience in Human Resources & Administration in a busy environment
