Job Description

Background:

  • LWF World Service Ethiopia is a registered foreign charity which has been operating in Ethiopia since 1973 implementing various development and humanitarian projects in different parts of Ethiopia.

  • Its thematic areas include promotion of food security and sustainable livelihood, sustainable natural resources management, emergency preparedness, response and rehabilitation, and capacity building.

  • LWF Ethiopia promotes gender equality and equal opportunities for women and men. As part of its commitment, LWF strives to ensure gender equity at the institutional level.

  • Therefore, recently LWF ET established an internship program for female fresh graduates. The aim is to provide an opportunity for young female fresh graduates to exercise the most important duties of modern office managements, administrations, supervisions and personnel matters; it aims to produce office managers/administrators who can effectively and efficiently supervise services essential to the smooth running of the enterprise. Therefore, with this call for female intern, LWF would like to receive letter of interest and CV for exercising in Human Resource and Administration tasks. Detail of the call identified as follows.

    Key issues to be exercised during the internship:

    Reception & Hospitality

  • Welcome and direct all guests to the persons concerned;

  • Check and follow up the service and availability of tea, coffee, water and glasses for staff and visitors at reception;

  • Maintain up-to-date telephone directory of the organization;

    Administrative & HR issues

  • Assist in composing letters, correspondences, memos, etc. for review and approval;

  • Assist in maintaining files of correspondences and other records;

  • Assist in locating and extracting information and materials from file;

  • Maintains office supplies and ensure proper usage;

  • Make sure that monthly utility bills such as electricity and water, and internet service and telephone bills for both
    fixed and mobiles are settled on time.

  • Ensure that the telephone lines are working properly and follow up the timely maintenance of same when they are out of order;

  • Handle all outgoing correspondence and ensure its timely dispatch;

  • Maintain a registration book for all incoming correspondence and publications, sign for them, file-code them, and distribute them to the concerned;

  • Maintain a registration book for all outgoing correspondences and file-code them;

  • Assist in document preparation, typing, printing, copying, binding, compiling and dispatching;

  • Check and follow up the timely maintenance and proper use of fixed phones, extension lines and commonly used office machines – photocopies, fax, printers, etc.;

  • Assist the HR and Admin Unit in handling in dead personnel files;

  • Complete payment formats for daily laborers worked for office and Gardner’s payment;

  • Good communication skill in English both verbal and written

  • Open minded for strong knowledge and skills in computer application programs

  • Open minded for ability to work independently

  • Good interpersonal skills and ability to work successfully in a team environment

    Requirements:

  • Graduate with Diploma or Bachelor Degree in Managment, Business Administration, Secretarial Science and Office Management and other related fields graduated in the year 2019 from recognized College/University
