    The Fred Hollows Foundation is one of Australia’s most respected and trusted international development organisations whose vision is to end avoidable blindness and ensure the work of Fred Hollows lives on.

    Ethiopia is one of The Foundation’s largest funded programs, focused on the Elimination of Trachoma. Up until now our program has focused on the complex and direct delivery of services to help those in need.

    With strong foundations in place, we are now looking to enter into a new phase of our programming building on the work that we have already done.

    In line with the priorities of the New Global Strategy, the next phase of our programs will see us moving towards a system strengthening approach ensuring the work that we do, is sustainable and integrated within the local health systems. Moving forward we will focus on the following key areas;

  • Support and Strengthen the health systems – integrating trachoma into broader eye health services

  • New Comprehensive Eye Care Programs (cataract, diabetic retinopathy, Uncorrected Refractive Error (URE) and trachoma)

  • Sustainability - through increased investment and support we will work hand in hand with local governments

    About the Position

    Reporting to the Administration Officer, the Admin Assistant/Office support will act as the immediate face of The Fred Hollows Foundation Ethiopia (FHFE), providing general administration, logistical and clerical support to FHFE country office.

    Specific responsibilities include:

  • Provide a range of front office services such
    as answering and transferring telephone calls

  • Manage the correspondences (incoming and outgoing) and handle all secretarial work of the organization as requested by the Managers, Supervisors and department offices.

  • Develop and implement new administrative systems, such as record management for the country office.

  • Provide support in organizing events as requested.

  • Provide office logistical support in the day to day office activities, taxi transfers for FHF staff and visitors to ensure effectiveness of program work.
  • Ensure the knowledge of staff movements in and out of the domicile office & updating register.
  • Ensure timely flight requests from staff and visitors
  • Offer admin support in the application and processing of visas and other travel documents for the FHFE staff and visitors.
  • Facilitate booking of accommodation for staff and visitors in program areas and Addis within the facilities on the database
  • Prepare and disseminate administrative templates to concerned departments
  • Prepare budget requests for meeting and other administrative work as requested by the supervisor.


    Job Requirements

  • To be successful in this role, we are seeking someone with the following experience and skills.

  • At least 3 years work experience preferably in a similar role within a recognized NGO.
  • BA degree in Management, Business Administration, Public Administration, International relations and other related fields.
  • Customer service orientation.
  • Experience in managing travel and hotels booking.
  • Using IT systems and packages, in particular Microsoft Office.
  • Diary management and appointments booking using manual and computerised systems
  • Previous experience supporting a busy office environment
