Organisation Overview

The African Academy of Sciences (AAS) is a non-aligned, non-political, not-for-profit Pan-African organization headquartered in Nairobi, with a hosting agreement with the government of Kenya.

The AAS’s vision is to see transformed lives on the African continent through science. It is the only continental Academy in Africa enjoying the support and recognition of the African Union, and with joint programmes with NEPAD Agency, now the African Union Development Agency (AUDA-NEPAD), as well as several governments and major international partners.

It has a tripartite mandate: to recognize excellence through its highly prestigious fellowship and award schemes; to provide advisory and think tank functions for shaping the continent’s Science, Technology and Innovation (STI) strategies and policies; and to implement key STI programmes aimed at addressing Africa’s developmental challenges

Global Grant Community Overview

The Global Grant Community (GGC) is the AAS’ financial governance platform that aims to reduce the multitude of financial assessments and audits by standardising, simplifying and strengthening grant funding worldwide.

At the core of the GGC is a new international standard for Good Financial Grant Practice (GFGP) which provides an innovative and integrated approach to financial governance.

The enabling platform allows research and academic institutions, NGOs, community-based organisations of any size to rate their capability to receive and manage grants.

It provides an online Pre-Certification Assessment tool (GGC Portal) covering four grant management practice areas of —financial management, procurement, human resources and governance.

GFGP has been adopted by the African Organisation for Standards (ARSO) to promote transparency in the use of funds by local organisations to mitigate the risk of fraud and corruption.

Institutions are benchmarked on a cumulative four-tier assessment – Bronze, Silver, Gold and Platinum – that rates their capabilities to manage grants with the goal of:

  • Assuring grant makers that their funds are going to recipient organisations with certified capabilities to manage grants
  • Reducing the resource burden of grantees by streamlining the audit process
  • Mitigating the risk of corruption and fraud

    The GFGP Procedures, Processes and Policies (PPPs)

    To demonstrate compliance to the requirements of the GFGP standard, the organization must have documented PPPs which are required by the standard and show evidence that these PPPs are effectively embedded within the organization’s operations.

    The GFGP standard requires a total of 155 PPPs namely 31 procedures for Bronze Tier, 65 processes for Silver Tier, 53 policies for Gold Tier and 6 policies for Platinum Tier.

    However, the organization’s compliance to Tier requirements of the GFGP standard is on a
    cumulative basis as following:

  • Bronze compliance:31 Procedures

  • Silver compliance:31 Procedures+65 Processes

  • Gold compliance: 31 Procedures+65 Processes+53 Policies

  • Platinum compliance: 31 Procedures+ 65 Processes+ 53 Policies+ 6 Policies.

    Job Description

    Reporting to the Programme Officer for the GGC, the intern will be responsible for anonymising the existing PPPs retained by the AAS, to meet the quality requirements for being uploaded as PPP templates in the GGC Portal public library.

    These PPPs templates will be used by organizations for customising their PPPs to be uploaded in the GGC portal. So, this role will require someone who demonstrates both a creative and analytical mindset.

    Duties and Responsibilities

  • Develop work plan and methodology for anonymising AAS PPPs into quality templates which will be uploaded in the GGC Portal public library.
  • Preparation of anonymised PPP templates based on the AAS PPPs and in accordance with the requirements of the GFGP standard, while ensuring high quality control.
  • Consultation with PPPs owners within the AAS to ensure that anonymised PPPs meet the GGC portal user’s requirements
  • Perform other tasks related to the preparation of the PPP templates that may be required in coordination with the GGC Programme Officer.

    Qualifications

  • Degree in Accounting, Finance or Business Administration
  • Work experience in developing SOPs for Financial Management, Human Resource Management, Procurement and organization’s Governance.
  • Experience in auditing Financial Management, Human Resource Management, Procurement and organization’s Governance is preferred.

    Specifications of the intern

  • Previous experience in the development and auditing of the Standards Operating Procedures for the Financial Management, Human Resource Management, Procurement and Governance functions of the organization.
  • Demonstrates strong writing and editing skills
  • Ability to work in a fast-paced environment
  • Communicates clearly and effectively
  • Possesses strong organisational skills
  • Is detail-oriented, exhibits excellent interpersonal skills and capable of creating and maintaining a high-quality work
  • Exhibits proficiency in Microsoft Office Suite including Word, PowerPoint, and Outlook
  • Can think creatively and analytically and manages time efficiently
