    Job Purpose

    • To facilitate the efficient handling and management of new business transactions within Commercial Asset Finance by exercising quality control of documents needed by OSS for processing and interacting with the product operating system for the maintenance of management information.

    Key Responsibilities/Accountabilities

    Account and facility pay-out processing

    • Acts as point of contact for the customer, dealer and the customer servicing unit.

    • Registers all unregistered asset dealers and suppliers that any CAF consultant needs registered for purposes of financing an asset and obtains the required documentation for verification (e.g., cancelled cheque, letter head documents and general banking details for the client and register the dealer on the system). Validates these details prior to submission to line manager.

    • Prepares or updates (if existing loan) documents and files to ensure that the necessary enquiries such as (FICA) can be made and updated.

    • Captures leads and updates status on Customer 1st.

    • Communicates all relevant information to Business Development Manager (BDM) in both the internal and alliance market, relationship managers and business analysts at stipulated process intervals during the deal progress.

    • Follows up on faulty or outstanding security documents and drives the rectification process. Maintains a CAF securities registry and exception reports on securities.

    • Confirms the conditions of approval received from RM/Credit/Business Analyst once an application has been approved.

    • Once the conditions have been reviewed, performs a compliance check that the customer is FICA compliant. If all details are found to be up to date, continues with processing and if details are not up to date and the customer is non-compliant then inform the relevant BDM who must obtain all the needed documentation to ensure FICA/FAIS compliance.

    • Prepares facility letters/commitment letters with term sheets and loan agreements in accordance with credit approval requirements.

    • Forwards completed and validated facility letters to
    the relevant BDM.

    • Ensures that the original facility letter, securities and insurance confirmations are received and finalised for file archiving.

    • Sends original documents through to OSS for filing.

    • Accesses the bank’s Security Management System to check existing securities that are on record for an existing RBB customer.

    Facility Quality Control

    • Liaises with all the relevant parties to attend to KYC and compliance requirements.

    • Ensures that the accounts opened reflects all the authorised changes and that all new accounts are compliant with KYC, FAIS, FICA.

    • Controls, solves and provides feedback to client and BDM or the Business Analyst on client matters during the processing period. Client matters may refer to general queries in the process of gathering documentation, request for additional information to feedback on the approval or decline of a deal.

    • Communicates all relevant information to BDM/RM/Business Analyst at stipulated process intervals during the deal progress.

    Risk and Control

    • Works with the sales team to achieve sales and service goals by completing quality checks within set service standards. Assists the team of consultants and RM’s to obtain operational rigour in all aspects of processes undertaken through regular coaching on KYC

    • Ensures that facility letters contain all the relevant information.

    • Validates and complete all pay-out and compliance documents.

    • Retains and completes all original documentation needed to fulfil payout on a transaction

    • Accurately captures all information to ensure that all MI is of high standard and quality.

    Portfolio management

    • Identifies cross selling and refinancing opportunities and forwards to the relevant stakeholders.

    Self-development

    • Maintains and continuously looks for opportunities to develop skills and knowledge base.

    • Remains up to date with Industry and sector related information.

    Measures

    • Increased finance penetration (move from 10% to 60%) into the Business and Commercial customer base

    • Increased cross-sell across the value chain

  • Diploma

  • Business Commerce

    Knowledge/Technical Skills/Expertise

  • 1 - 2 years

  • Experience in a sales support function (e.g., portfolio management, disbursements, contracts, etc.) within Commercial Asset Finance. Understands the VAF value chain
