Job Description

Reporting to the operations officer, the office assistant will offer support to the country office and project teams on stand-by basis (on-call). He/she will ensure that the office is opened and closed, the security system is disarmed and armed, the offices and workstations are clean, stock is taken and stationaries are distributed and ordered.

He/she will also support in filing and other elementary administrative tasks. The job is full time from Monday to Friday and on Saturday, half day. The work locations are in Nairobi, Eldoret and Nanyuki.

Responsibilities

  • Opening and closing of offices; Disarming and arming the security system.
  • Cleaning: Cleaning and tidying of the designated office area(s), and collecting, separating and disposing waste, using the equipment as provided in a proper manner.
  • Catering: Providing catering services to employees, external parties and visitors, as directed by operations officer; Preparing tea and coffee for visitors and staff.
  • Telephone and reception: In the absence of the receptionist, welcoming visitors and guests, answering and putting through incoming calls, connecting outgoing calls when needed, based on work instructions
    and requests of employees.
  • Stationary and mail: Distributing stationary as directed by the operations officer; Collecting, delivering, distributing and posting mail in the absence of the receptionist.
  • Stock keeping: Recording, monitoring and distributing various types of office stock like paper, stationary, cleaning materials, kitchen stock and other consumables, and as required by the operations officer; Also ensuring adequate supply of same stock, and taking care of all incoming deliveries, based on work instructions and as required by the operations officer.
  • Filing as directed by the operations officer: Photocopying, binding and archiving of reports and other documentation.
  • Carrying out elementary administrative tasks (register of receipts, cheques and invoices and log keeping) based on work instructions.
  • All other office related tasks and duties as assigned by the operations officer.

    Qualifications

  • Kenya Certificate of Secondary Education;
  • At least 1 years relevant working experience with an international organisation;
  • General knowledge and understanding of NGO’s;
  • Good communication and organization skills.
