The East Africa Energy Program (EAEP) is a four-year project to increase on-grid electricity access, accelerate private sector investment, and improve the enabling environment of the power sector in East Africa.

RTI International leads implementation of the program, which is funded by Power Africa, a U.S. Government-led partnership coordinated by the U.S. Agency for International Development (USAID).

RTI International seeks to recruit an Operations & Administration Officer to be based in Nairobi, Kenya under the East Africa Energy Program.

Job Summary:

The Operations & Administration Officer is responsible for ensuring the smooth operation of the EAEP program as a whole as well as office operations and/or field activities.

She/he will do this by coordinating programmatic information and providing logistical support for specific program activities in all the countries where EAEP is implemented.

She/he will also be responsible for the day-to-day coordination of program’s specific administrative and logistical support activities and will work with other program staff to coordinate technical assistance required.

She/he will ensure that all administrative processes are compliant with RTI International administrative procedures and guidelines as provided for in the Field Operations Manual- Sept 2019 version.

Specific Responsibilities

  • In liaison with the relevant administrative staff oversee the organization of all travel and hotel arrangements for staff and consultants as well as those of participants attending program activities, while ensuring adequate compliance with RTI and/or USAID and or the applicable donor regulations.
  • Manage the office diary, maintain a calendar of planned program activities that require operations and admin support and liaise with the Communications and Events Specialist to plan for all of the events, including major meetings, workshops, seminars, visits, retreats etc and in external partner logistics communication.
  • Liaise with service providers to organize meetings and workshops ensuring that all logistic aspects are adequately addressed including the reproduction and compilation of necessary materials.
  • Assist in the preparation of agendas for staff and technical meetings, document minutes and disseminate accordingly.
  • Maintain an effective office country filing system, order and replenish office, kitchen and stationery supplies and manage the flow of documents
    between the project and external partners.
  • Assist with fleet management documentation, vehicle servicing and fuel management
  • Support vendor’s payment process and VAT Processing (DA1) through the invoice tracking system and coordination with Nairobi office.
  • Maintenance of the office petty expenses ensuring timely submission according to policy and procedures.
  • Support specific steps in the procurement process as requested.
  • Participate in management of the entire supply chain management for various project supplies to cover receipt, storage and distribution of various project material.
  • Assist in managing and updating assets and inventory management to ensure proper tagging and branding of assets. Also, submission of monthly assets and inventory reports.
  • Engage in data entry for various activities, using Word, Excel and other data entry tools.

    Qualifications
  • Bachelor’s degree in office management/ general office administration/ logistics/ procurement or equivalent and a minimum of 3 years’ relevant work experience.
  • Experience in office operations and in providing administrative support preferably with an international organization.
  • Proficiency in English including reading, writing and speaking skills.
  • Demonstrated intermediate computer skills in Microsoft Office Suite applications including Word, Excel, PowerPoint and Outlook.
  • Detailed oriented with excellent interpersonal skills and demonstrated ability to work in a team and to learn complex procedures.
  • Ability to work independently, prioritize tasks and to take initiative.
  • Demonstrated numeric and basic accounting skills.
