Riana Group Operations Assistant Jobs in Kenya; Provide administrative support to the Operations and Compliance function, ensuring smooth execution of day‑to‑day activities and compliance tasks across the organization.
Key Responsibilities
Financial Support & Analysis
Maintain and update financial records in accordance with company policies.
Contract & Compliance Management
Assist in drafting and reviewing contracts (NDAs, JV agreements, sales agreements, lease/AMC contracts).
Track contract renewals and ensure compliance with terms.
Maintain database of clients, warranties, AMCs, and lease agreements.
Coordinate with internal teams to ensure adherence to contract clauses.
Share contract renewal updates weekly and monthly.
Procurement & Billing Coordination
Follow up on procurement requests to ensure timely purchases and dispatch.
Track LPO fulfillment and job card submissions.
Monitor open LPOs and billing cycles.
Prepare monthly open LPO reports and follow‑up actions.
Coordinate PM follow‑ups for accurate AMC billing.
Client & Support Coordination
Provide support to clients regarding contract inquiries.
Manage BDT system for tracking contracts, LPOs, warranties, and billing.
Assist in issuing QSYS licenses per client terms.
Coordinate VMS SMS bundle recharges.
Support
claim approvals and reimbursements.
Facilitate creation of new clients in Zoho Desk.
Track project handovers and warranties setup.
Monitor POCs and follow up with sales team.
Documentation & Reporting
Maintain organized records of contracts, LPOs, invoices, job cards, and handovers.
Assist in filing legal and company documents.
Prepare reports on contract renewals, procurement, and financial transactions.
Handle general office duties including data entry, filing, and summaries.
Perform other tasks as assigned.
Skills & Personal Attributes
Bachelor’s Degree in Finance, Accounting, Economics, Administration, or related field.
2+ years’ experience in Finance, Accounting, Operations, Compliance, or Contract Management.
Excellent written and verbal communication.
Strong analytical and problem‑solving skills.
Detail‑oriented with strong time management.
Strategic mindset with ability to identify opportunities.
High attention to detail and accuracy in financial data.
Professional communication and interpersonal skills.
Ability to work independently and collaboratively.
Demonstrated ability to improve profitability and competitiveness.
Understanding of financial principles and contract management processes.
