Job Description

Admin and IT management Head plan, coordinate, and direct the administrative functions of the organization. Oversee the recruiting, interviewing, and hiring of new staff; consult with top executives on strategic planning; and serve as a link between an organization’s management and its employees.

She/he is also responsible for oversees and assists with information technology practices, coordinating and assigning tasks, developing work schedules, and completing repairs and installation activities related to computers and laptops. In addition, supervise software and hardware maintenance and assist with vendor selection and management.

She/he helps the organization by managing the organization’s website. She/he oversees the functionality of the website, evaluate and manage website performance, facilitate hosting and server management, and develop, maintain and update website content. Besides, she/he is expected to oversee the operations, maintenance, and administration of properties of the organization.

Duties and responsibilities

Admin and IT managers typically do the following:

Human resource related role

  • Planning HR and administration activities annually

  • Setting, monitoring, and achieving HR targets

  • Managing recruitment, on boarding, and exit procedures

  • Overseeing the payroll function

  • Ensuring full compliance with organization policies and procedures

  • Managing employee relations

  • Running the office and facilities management functions

  • Leading the HR and administration team

  • Plan and coordinate an organization’s workforce to best use employees’ talents

  • Link an organization’s management with its employees

  • Plan and oversee employee benefit programs

  • Serve as a consultant to advise other managers on human resources issues, such as equal employment opportunity and sexual harassment

  • Oversee an organization’s recruitment, interview, selection, and hiring processes

  • Handle staffing issues, such as mediating disputes and directing disciplinary procedures

  • Conduct regular review of archive and keep organizational archives,

  • Establish and review the existing flow and practice of internal and external information and communications system

  • Initiate and lead the regular review of Personnel/ Human resource manual

  • Coordinate and facilitate staff performance appraisal and capacity building initiatives

  • Lead, coordinate and facilitate staff security policy implementation at organizational level

    Information management related role

  • Planning, implementing, managing, monitoring, and upgrading the organization's website.

  • Responding to and troubleshooting all website issues.

  • Identifying and responding to all website security breaches.

  • Ensuring that the website is protected by enabling the appropriate security measures.

  • Conducting content audits to eliminate redundant and/or duplicate information.

  • Creating appropriate website content aligned with the organization’s strategy.

  • Ensuring website quality and efficiency by conducting regular test plans.

  • Improving the user experience of the website regularly.

  • Collaborating with all staff and management to ensure that the website aligns with brand strategy and meets the organization’s
    standards.

  • Creating strategies to grow subscriber base and web traffic metrics.

  • Ensuring full compliance on the website with all laws and regulations.

  • Keeping up-to-date best practices and monitoring competitor websites.

  • Monitoring daily operations, including server hardware, software, and operating systems, website.

  • Coordinating technology installations, upgrades, and maintenance.

  • Asset the procurement committee in Selecting and purchasing new and replacement hardware and software, when necessary.

  • Testing, troubleshooting, and modifying information systems so that they operate effectively.

  • Assuring all IT activities are performed within the parameters of applicable laws, codes, and regulations.

  • Evaluating technology risks in order to develop a network disaster recovery plan and backup procedures.

    Property management related role

  • Develop and constantly improve inventory management procedures for the organization.

  • Maintain and update inventory of office equipment and supplies.

  • Manage inspection and arrange maintenance for properties.

  • Maintaining and managing goods received and goods dispatched and issuing invoices.

  • Prepare monthly status reports.

  • Coordinates day-to-day logistics support.
    Give training on inventory management as required

  • Maintain files and track the importation and clearance of goods

  • Supervise and/or monitor the inventory of property at various facilities in Head, sub and field offices.

  • Oversee periodic inventories and reconcile with the organization’s records.

  • Review and recommend to supervisor changes and annotations to stock and property records to reflect status and condition.

  • Other duties as assigned.

    Job Requirements

  • Bachelor’s degree in information technology, computer science, or a related field. Having educational background in Human Resource or Property Management with IT or computer science is preferable.

  • roven experience in managing IT infrastructure and services.

  • Experience in web content creation and administration,

  • Proficient in computer hardware, wireless technology applications and interface.

  • Proficient in Microsoft Windows software, including server, office, and exchange

  • Knowledge of Human Resource and Property Management and leadership skills.

  • Multi-tasking and time-management skills, with the ability to prioritize tasks.

  • Highly organized and detail-oriented.

  • Excellent analytical and problem-solving skills.

  • Flexible working hours.
