Position Overview:

Heshima Kenya is a nonprofit organization based in Nairobi Kenya dedicated to identifying, protecting and empowering unaccompanied refugee minors, especially adolescent girls, through our specialized shelter, education and advocacy programs. The Procurement Coordinator will be responsible for the purchase & supply of products and services essential for Heshima Kenya operations.

The Procurement Coordinator core responsibilities include strategizing to find the most cost-effective deals and suppliers.

The coordinator will be expected to lead in getting the best ways to minimize our procurement expenses to enable Heshima Kenya invest in its growth and persons of concern.

The Procurement Coordinator will manage project procurement and ensure compliance with HK policies, contractual terms and other applicable rules and regulations, support the procurement of a wide-range of goods, commodities, and services through subcontracts and purchase orders.

The role will undertake procurement functions that include preparing specifications and solicitation documents, managing bid evaluations and overseeing vendor selection process.

Ensuring supply planning to meet project needs and requirements; achieving compliance to Donor Grants and HK procedures and systems and upholding high standards in Procurement & Supplies ethics.

Primary Duties & Responsibilities

  • Manages supplier’s relationships, contacts, and pre-qualifications lists.
  • Examines and re-evaluates existing contracts
  • Tracks and reports key functional metrics to reduce expenses and improve effectiveness
    Controls spending and builds a culture of long-term saving on procurement costs
  • Reviews and finalizes details of orders and deliveries
  • Performs risk management regarding supply contracts and agreements
  • Collaborates with program managers to ensure the clarity of the specifications and expectations of the organization are met.
  • Maintains procurement files (paper and electronic backup) according to the policies, procedures and legal requirements.
  • Provides procurement procedures and policy guidance and interpretation to program staff.
    Coaches, mentors, and trains program staff on procurement policies and procedures.
  • Supports the procurement of a wide-range of goods, commodities, and services through sub-contracts and purchase orders.
  • Develops tools and forms required for procurement, contracts, and other agreements such as bid analyses and selection and negotiation memos.
  • Undertakes procurement functions that include but not limited to preparing specifications, solicitation documents and managing bid evaluations.
  • Manages the project procurement and ensures compliance with HK policies, contractual terms and other applicable rules and regulations, including but not limited to statutory legislation.
  • Liaises with the Finance Department to ensure the correct vendor payments are made, follows through on financial procurement budgets and accuracy of financial procurement documentation presented;
  • Processes all paperwork relevant to the purchasing of goods.
  • Manages communication with vendors and staff to facilitate smooth implementation of procurement procedures.
  • Expedites the delivery of procured goods and services.
  • Drafts requests for quotations and proposals
  • Facilitates and follows up on approvals of requisite documents required in the procurement process;
  • Conducts weekly demand planning to determine the needs and requirements for good and services

    Skills & Qualifications

  • A minimum of 4 experience in Supply Chain/ Procurement
  • Degree in supply chain management, procurement & logistics
  • Ability to identify institutional needs e.g. capacity gaps and design appropriate interventions
  • Experience in project cycle management
    Knowledge of sourcing and procurement techniques as well as dexterity in “reading” the market.
  • Strong attention to detail and the ability to deliver on assigned tasks with independence and little supervision
  • Adaptable and possess a zeal to learn
    Proactive and possess great communication skills
  • Strong interpersonal and communication skills
