    RefugePoint was founded in 2005 to provide lasting solutions for the world’s most vulnerable refugees.

    We work to fill the critical and unmet needs of people affected by war and conflict that have fallen through the net of humanitarian assistance, in particular women, children and urban refugees.

    The Executive Assistant’s primary role is to provide support to the Country Director including coordinating schedules, calendars, and travel logistics.

    In doing so, the Executive Assistant will work in close consultation with the Resettlement Program Coordinator, Urban Refugee Program Coordinator, HR & Regional Programs Senior Manager and Finance & Admin Senior Manager.

    Core responsibilities of the position are as follows:

    Executive Support

  • Provide primary administrative support to the Country Director and Senior Management Team members;
  • Coordinate Country Director’s schedule, calendar, and travel arrangements;
  • Organize and prioritize large volumes of information and calls, inputs and update contact information as needed;
  • Ensure Country Director is well informed of upcoming commitments and responsibilities;
  • Follow-up with relevant staff to ensure appropriate briefing material is completed in anticipation of all events;
  • Maintain and update filing system for the Country Director;
  • Undertake other administrative tasks as delegated by the Country Director.

    Administrative Support

  • Serve as the Senior Management Teams’ focal point for a wide range of administrative support functions;
  • Assist in coordinating external events, including Board Of Directors meetings, and other speaking engagements;
  • Take notes during staff meetings, BOD meetings, and other external meetings
    as needed;
  • Drafts written responses or replies by phone or e-mail when necessary. Respond- to regularly occurring requests for information;
    Occasionally travel with Senior Staff to provide support during events.
  • Attend to any other duties as assigned by the Senior Management Team

    Desired Skills and Qualifications

  • Bachelor’s Degree in related field preferred or at least two years experience as an Office Manager and/or Executive Assistant;
  • Experience working in a non-profit preferred;
  • Must be confident in communicating with senior level staff in an organization;
  • Must be able to work independently and proactively;
  • Knowledge of and/or experience working in the refugee field a plus but not required;
  • Experience posting professional and engaging messages on social media;
  • Demonstrated strong writing ability and editing skills, including drafting material for external publication;
  • Must have strong computer skills in Microsoft Office and cloud-computing platforms;
  • Must be able to maintain confidentiality and handle sensitive information discreetly;
  • Must be professional, personable, and able to maintain positive working relationships with all stakeholders;
  • English language fluency required;
  • Demonstrated ability to work well under pressure, maintaining flexibility and attention-to-detail;
  • Willingness and ability to maintain a flexible work schedule.
